Essential Responsibilities:
Provide administrative support to the Service & Sales Leaders on a daily basis through effectively maintaining and coordinating calendars, scheduling appointments and meetings, making travel arrangements, telephone/reception coverage, service quoting, filing and document creation. Ensure all relevant information is distributed amongst the team. Managing team collaboration by driving meeting minutes and action item documentation, distribution and follow ups. Provide policy and process support to sales team on tendering: information collection, country policy research. Monitors and controls the throughput of tenders being worked ensuring that return dates are met Assisting with processing and reconciling T&L expense accounts for the Leaders using an internal system whilst ensuring that all expenses are in line with GE policies and are compliant. Liaising with external suppliers, collating, processing and receipting invoices using the internal accounting system. Provide effective administration through formatting, collation, printing and binding in support of tender production to enhance, business performance and customer satisfaction. Organise local events for regional teams and also work closely with the Marketing team to support national healthcare exhibits and conferences in the region. Support Sales Managers with periodic sales performance analysis; sales/deal tracker or other tools as required via an internal database. Managing of stationary and general facilities stock for office and liaising with suppliers for orders whilst ensure that budget allocations are adhered to. Acting as the facilities coordinator for the office, ensuring that all site maintenance is conducted and managed through supplier engagement, arranging occasional building works, waste removal management and commonly used machinery spot checks. Qualifications/Requirements:
Proficient in use of Microsoft office with speed and accuracy. Highly organized Excellent verbal and written communication. Ability to multi-task workload and prioritize. Work under pressure against tight deadlines, getting work right first time. High level of telephone and customer care skills. Time Management skills with the ability to work with accuracy and minimum of supervision
