Job Details
Note: This position will be a 0.8 FTE for 2 years, with the possibility of extension. It will become a 0.5 FTE (17.5 hours/week) thereafter; salary will be pro-rated accordingly.
The Medical Education Program Assistant supports the Critical Care Residency Program and Fellowship program within the Department of Critical Care Medicine.
Duties
- Acts as the primary contact and resource for the CCM Programs, Program Director, Postgraduate Medical Education (PGME), Professional Association of Residents of Alberta (PARA) and the Royal College of Physicians and Surgeons of Canada (RC) addressing resident and faculty inquiries as pertains to them
- Organizes day to day duties of the educational programs
- Completes invoicing requirements for Alberta International Medical Graduates (AIMG); follows prescribed guidelines, assists with the preparation of expense claims
- Maintains confidential and complete resident files, including evaluations
- Drafts and/or prepares correspondence and letters; transcribes confidential documents
- Coordinates and maintains rotation schedules for residents and electives
- Assists with scheduling rounds/teaching sessions
- Schedules, coordinates and proctors resident examinations, including Multiple Choice Questionnaire (MCQ) examinations and oral examinations
- Assists in coordination of Resident Objective Student Clinical Examinations (OSCE) by coordinating examiners, residents and patients; assists in setting up examination stations for OSCE
- Compiles evaluation data and coordinates meetings for Program Director and residents
- Coordinates and assists with review of applications through the CaRMS system and schedules interviews for applicants
- Develops and maintains residency program training manual
- Assists with updating program information on the website
- Coordinates yearly program orientations
- Prepares and disseminates notices for weekly/monthly rounds, seminars, awards, research and conference events
- Compiles reports and materials for internal and external reviews of the program (University and RCPSC)
- Arranges meetings, agenda and minutes for the Residency Program Committee
- Arranges the annual Resident Research Day
- Performs other duties as required
Qualifications
- High School diploma supplemented by administrative and computer courses
- 3-5 years related experience
- Computer proficiency using MS Office applications, Internet, E-mail and knowledge of the ONE45 Webeval would be an asset
- High level of accuracy and strong attention to detail skills
- Knowledge of University of Alberta policies and procedures
- Demonstrated communication, interpersonal and organizational skills
