Space Planning Analyst x2 Fixed term Contracts 12 months

Do you enjoy data analysis, working with mathematical concepts and experienced in the knowledge and understanding of spatial awareness? We have an opening for a Space Planning Analyst to join the Property Services team.  The role of Property Services is to provide a leading facilities management, planning and development service to one of Auckland’s largest and most diverse property portfolios. 
  
Reporting to the Space Planning Team Manager, you will be responsible for maintaining the University’s property and building space registers including the space management system inventory and occupancy charging information.  You will also assist with accommodation planning, space management studies, associated administration and maintain external and way-finding signage on all campuses. There is a significant data analysis component in the role as you will be required to analyse, report and interpret space usage through reviewing usage surveys and improve space efficiency across multisite campuses.

Key roles & responsibilities:  

  • Maintain occupant organisations and room uses within the space management database as relocations, decants, intermediate or major capital works demand 
  • Space data analysis – area per EFTS; room type and utilisation
  • Manage space management system floor plan updates by Consultants.
  • Maintain registers of the University’s buildings and properties including all relevant information such as legal titles and valuations
  • Coordination of space audits of City, Epsom, Grafton, Newmarket and Tamaki campuses ensuring that buildings on each campus are audited regularly
  • Manages regular update of space occupancy information, coordinating with organisational units’ administrators
  • Liaison with GIS on Campus Map updates and the University Calendar Directory.
  • Undertake accommodation planning studies as required, including the collection of data for space needs’ analysis
  • Provide space information on refurbishment, minor or major capital works
  • Prepare month-end space demand and supply schedules and plans identifying available space to meet demands
  • Ensure that signage is provided for newly built or acquired buildings and conforms to University standards as required

 

Ideally you will be tertiary qualified in either space planning, relocation, Architecture, or a relevant discipline.  Candidate’s who have a background working within facilities, that can demonstrate a strong understanding of space awareness and planning, and how this impacts office space relocations, decants, intermediate or major capital works projects will be strongly considered. 

You will be detailed orientated and have excellent organisational and time management skills with the ability to multi task and to adhere to time lines. Your highly developed written and verbal communication skills enable you to build excellent staff relationships at all levels across the organisation.

It is essential that you will exhibit excellent quantitative skills, analytical ability and enjoy a robust and rigorous approach to problem solving.  Those with strong systems skills & the ability to assimilate and analyse data, combined with a proactive, action oriented persona and mature professional approach will earn your credibility stripes with a diverse group of stakeholders.  There will be a requirement to use excel extensively and at an advanced level in the role and candidates will need to be able to exercise their expertise in the use of this package and be comfortable in extracting data to formulate reports.
