JOB PURPOSE:

Reporting to the School Manager, the Education Administrator will provide high quality administrative support to the School Manager, Head of School, Director of Undergraduate Education and Director of Graduate Studies to ensure the effective and efficient administration of the undergraduate and postgraduate education provision within the School.

 

MAJOR DUTIES:

  • Provide high quality administrative support for the development and delivery of the undergraduate and postgraduate education provision across the School. This will include managing portfolios of existing programmes and providing support for developing new programmes.
  • Manage administrative processes in relation to all education functions including: student recruitment, admissions and enrolment, timetabling, undergraduate and postgraduate administration, programme organisation and management, new progammes and changes to programmes/modules, examinations, QAA preparations, collaborative arrangements, etc.
  • Support all aspects of the work of the School’s Undergraduate and Postgraduate Education Committees’ and sub-groups, including the student experience, curriculum development and quality assurance, and student recruitment.
  • Support the work of the School’s Boards of Examiners, especially in relation to student progress and support.
  • Support the work of the School’s Staff-Student Consultative Committees.
  • Manage the administrative processes of the School with reg to QSIS, including updating of Course Catalog, Academic
  • Advisement, Block Enrolment, Grade Rosters and Completion.
  • Assist in the management and implementation of developments or special projects arising from School strategies around
  • undergraduate and postgraduate education.
  • Liaise effectively with colleagues in the Faculty Office in relation to intra- and inter-Faculty activities and initiatives, providing
  • support as necessary.
  • Liaise effectively with colleagues in Professional Support Directorates, in particular the Directorate of Academic and Student Affairs, to ensure the efficient administration of the School education portfolio, and with the Marketing, Recruitment, Communications and International Directorate on matters of student recruitment and the student experience.
  • Manage the administration of payments to external lecturers, teaching assistants etc. through the Non Staff Payment (NSP) system.
  • Undertake any other duties as may be reasonably required within the general ambit of the post.

 

Planning and Organising:

  • Plan and organise activities with an appreciation of longer term issues, ensuring plans complement and feed into broader operational plans within the School.
  • Plan and organise support for the day-to-day delivery of undergraduate and postgraduate programmes.
  • Work on own initiative, prioritising workload responsibilities to meet the overall objectives of the School.

 

Resource Management Responsibilities:

  • Advise the School Manager, Director of Undergraduate Education and Director of Graduate Studies on the management of educational resources and budgets.
  • Oversee aspects of the work of the School clerical team as necessary.

 

 

Internal and External Relationships:

  • Liaise daily with the School Manager, Director of Undergraduate Education, Director of Graduate Studies, academic staff and the wider team within the School Office to ensure the smooth running of all aspects of the School education portfolio.
  • Liaise regularly with the Faculty Deans and the wider Faculty Support Team, in addition to colleagues in relevant Professional Support Directorates.
  • Liaise closely with the Faculty Student Recruitment Hub Team to ensure new programme developments are aligned to student recruitment goals, an informed and coordinated approach on matters such as recruitment activities and the achievement of admissions targets.
  • Liaise effectively with students and external stakeholders.
  • Engage with other areas of the University to develop new/improved processes and systems.
  • Liaise, as appropriate, with external professional bodies and partners.
  • Interact internally and externally to generate ideas and co-ordinate policy/practice developments.


 

ESSENTIAL CRITERIA:

  • A primary degree or evidence of substantial management or administrative experience.
  • A minimum of three years’ relevant experience working in an office environment of administration and management in a large public or private sector organisation, including:
  • Experience of planning and progressing work activities within organisational plans and policies;
  • Project management across a broad range of activities;
  • Provide advice to a number of demanding stakeholders;
  • Ability to produce and analyse information to inform complex management decisions;
  • Committee Servicing.
  • Proven analytical and organisational capability across a range of managerial functions.
  • Ability to manage, facilitate and implement change.
  • Strong influencing, negotiating and facilitating skills.
  • Ability to analyse complex problems and provide sound advice and guidance.
  • Excellent IT skills with a good working knowledge of MS Office packages.
  • Highly developed oral and written communication skills.
  • Strong presentational skills.​
  • Strong interpersonal skills, with the ability to lead others.
  • Ability to produce accurate work, under pressure and within agreed deadlines.
  • Evidence of ability to exercise initiative and work independently.
  • Strong commitment to the post.

  • Ability to maintain strict confidentiality.

 

DESIRABLE CRITERIA:

  • A relevant postgraduate qualification.
  • Experience working in the Education sector.
