Senior Secretary (SE11)
18 Month Contract (Grant Funded)

- extendable subject to availability of grant-funding
 
The Wits TCSE invites suitably qualified and experienced applicants for the full-time position of Senior Secretary. The successful incumbent will provide a professional reception and administrative function, manage Customer Relations and support the functions and duties of the Centre.
     
Main functions:

  • Management of financial administration of the Centre such as bookkeeping incl. payment requests, petty cash, credit card, etc.
  • Arrange and Coordinate travel arrangements
  • Coordination of Centre’s marketing efforts
  • Liaison with donors and partners.
  • Handle all requirements pertaining to the front reception area of the Centre.
  • Manage customer relations for the Centre i.e. handle new clients (phone calls, walk-ins, etc), capture onto CRM system, re-direct to appropriate unit.
  • Maintain accurate data input and administer CRM reports.
  • Assist with general office duties including photocopying, printing, mail posting/delivery, etc.

 
Requirements:

  • Matric, Secretarial/Admin Certificate or equivalent qualification and excellent typing skills. (A degree would be an advantage.)
  • Computer literacy (MS Office, Word, Excel, email and internet).  Knowledge of University systems and Oracle an advantage.
  • Proven experience working with databases, preferably customer-management type.
  • Excellent interpersonal and English communication (verbal and written) skills. (Additional spoken/written languages an advantage).
  • Ability to display initiative, attention to detail; organizational skills and work under pressure.
  • Well presented with excellent service skills and exceptional work ethic. Must enjoy working with clients.
  • Working experience in a tertiary education environment would be advantageous.
