Purpose: The Finance Officer will be responsible, inter alia, for assisting the Snr. Finance Officer and Finance Manager in all aspects of the financial administration of the Campus Control Department. This will include assisting in the maintenance of the general ledger, debtor & creditor administration, inventory, fixed assets and contract administration. Additionally, the incumbent will be responsible for the reconciliation of all financial accounts and the preparation of financial reports.  Furthermore, the supervision of Finance Assistant will be a key responsibility

Key responsibilities include the following:

  • Understanding and administering the full Management Accounting function (GAAP, IFRS, 4th Schedule, King III, Debtors and Creditors.)
  • Understanding the University’s finance and reporting systems and the parameters that govern the generic and specialized system reports
  • Assisting the Snr Finance Officer and Finance Manager in the creation of documents used for generating, updating, and storing data for reconciliation and statistical purposes
  • Providing monthly status reports to the Snr. Finance Officer / Financial Manager for discussion and reporting purposes
  • Overseeing, verifying and co-authorizing the monthly reconciliations of the balance sheet accounts
  • Managing the performance and training of junior finance personnel in alignment with the department’s business plan and service charter
  • Documenting departmental and inter-departmental processes, procedures, guidelines and rules, and where necessary creating and documenting related flow-diagrams
  • Managing and verifying the physical inventory / stock and related accounts.
  • Maintenance of the Department’s fixed asset register
  • Overseeing and maintaining all accounts in the general ledger i.e. ensuring the integrity of the data in the General Ledger
  • Verifying and authorizing the correction of all incorrect entries and the timeous processing thereof
  • Facilitating the request for new vendors (Accounts Payable) and/or customers (Accounts Receivable);
  • Managing the day-to-day document flow of the finance office;
  • Obtaining and preparing information and copies of documentation required by management and internal/external auditors
  • Assisting the Senior Finance Officer and Finance Manager during budget periods
  • Any other duties as may be requested by the Snr. Finance Officer, Financial Manager or Director of Campus Control, from time to time, for the efficient and effective running of the Campus Control Finance office
 

Requirements:

  • Matric with a three-year accounting diploma, or equivalent or studying towards a B.Com Degree
  • At least five years of bookkeeping/accounting experience (to trial balance)
  • High level of computer literacy (MS Office suite essential)
  • High level of proficiency in the Oracle Finance system (or similar accounting software)
  • Ability to interpret contractual information and budgets, and to analyse and reconcile accounts
  • Excellent communication, interpersonal and organizational skills
  • Ability to work in an environment that is deadline driven, and demands accuracy and consistency
  • Ability to work both independently and as part of a team, and must be able to lead and supervise junior administrative staff
  • Self motivated, reliable and have the ability to multi-task
