The University Records Officer is accountable for the development of an overall University of Alberta records management framework, strategy and plan to ensure business records  are created, collected, classified, filed, preserved and disposed according to industry best practices and institute policy, procedure and standards.

Specific responsibilities include:

  • Lead the development of a comprehensive Records Management Program that will support and enable all business units to be compliant with policy, procedures and standards
  • Lead, in partnership with IST, the administrative development and implementation of the Records Management Module of Alfresco, the University’s Electronic Document and Records Management System (EDRMS) to ensure the University’s digital content is managed in accordance with RM best practices and University policies, in compliance with legal requirements, and meets business operational needs
  • Ensure that records management policy, procedures, standards and associated documents embody best practices and are compliant with professional ethics, legislation and related requirements, provincially, nationally and internationally
  • Develop a records management strategic plan, including identifying timelines, human resource needs and financial resources required
  • Prepare long- and short-range records management plans
  • Identify critical needs, secure resources and oversee the development of records management products and tools
  • In conjunction with key stakeholders, provide RIM guidance to the University’s digital strategy
  • Identify issues and participate in the development of solutions for the accessibility, readability and preservation of electronic records
  • Identify records management compliance requirements;  collaborate with University business units and University information management-related peers to ensure compliance requirements are met
  • Provide records management advisory services to all business units to ensure that requirements of the Records Management Program are met
  • Lead the development of an emergency/disaster preparedness strategy to minimize risk to vital business records in the event of an emergency or disaster
  • Develop and institute-wide Records Management training program; develop and /or deliver workshops, lectures, seminars in selected areas of records management
  • Manage the financial and human resources of the Records Management Unit


In addition to a University degree in a related field and five years progressively responsible experience in a records management setting, the ideal candidate must have:

  • Familiarity with Alfresco or another EDRMS system(s)
  • Comprehensive and current knowledge of records management standards, theory, practice, administration and management
  • Ability to interpret and extract recordkeeping requirements from legislation and other mandatory documentary sources
  • Ability to develop, write and analyze strategic plans, business plans, implementation plans and project plans
  • Excellent communication, facilitation and organizational skills
  • Proven financial management and resource development skills
  • Ability to interact effectively with all levels of institute personnel
  • Knowledge of and appreciation for the complexities involved in managing electronic records
  • Ability to analyze and ascertain technical records management requirements
  • Familiarity with access to information and protection of privacy legislation and related University policy and procedures


This full-time continuing position is in accordance with the Administrative and Professional Officer agreement and offers a comprehensive benefits package found at: www.hrs.ualberta.ca and annual salary range of $69,662 to $116,038.
