The Provincial Fitness Unit of the Faculty of Physical Education and Recreation, University of Alberta, is located at 11759 Groat Road.

The Provincial Fitness Unit of Alberta promotes safe, effective physical activity adoption throughout the lifespan through advocacy, education and accreditation. We provide oversight in the exercise profession and continuity between various levels of exercise professionals, recreation and physical activity practitioners and the community.

The Administrative Assistant, Membership Services will report directly to the Director, and is primarily responsible for assisting to support membership retention and helping to promote the services of the Provincial Fitness Unit Health and Fitness program and AFLCA through a variety of activities including IT / online services, membership renewals and community relations. The incumbent will work primarily to support the Health and Fitness program (standards, knowledge transfer) and the AFLCA (re-certification, education and cecs) with a range of activities.

The Administrative Assistant has strong professional and communication skills. This position provides a range of administrative member support including answering questions about member benefits, researching potential opportunities for enhancement of services certification, and helping to research information for member education, workshops and courses, of the Provincial Fitness Unit. The incumbent must develop an understanding of the full range of Provincial Fitness Unit services and work to provide a strong base of communications and administration for members across the province.

Duties

  • Provides administrative support to the Provincial Fitness Unit on: multi store support, Fitdirectory and membership database, conference/workshop support, online education support, membership processing and renewals, office administrative duties and functions, IT desktop support and support current e-news communication platforms with staff
  • Supports the Director with member management/confidentiality and stakeholder communications
  • Support the Director or staff designate in the operations of the Health and Fitness Program
  • Processes new memberships and membership renewals
  • Researches potential educational opportunities for members for Professional development member renewals
  • Supports professional development administrative activities, e.g. registrations, reviews continuing education applications
  • Maintains and updates web site forms cabinet
  • Prioritizes membership requests and situations appropriately and with sensitivity to the issues
  • Facilitates workflow ensuring deadlines are met
  • Maintains efficient electronic filing systems
  • Collects, reads, evaluates, sorts and delivers incoming mail, emails and replies; responds to telephone inquiries
  • Responsible for taking and preparing minutes when necessary
  • Maintains and administers databases and insurance programs for members
  • Uses applications and google extensions to administer event registrations 
  • Provides excellent customer service and client relations, including anticipating the service requirements of members and stakeholders within the fitness industry
  • Assists in updating web content, best practices and posting content through a Content Management System (CMS)
  • Performs other related administrative duties as required


Qualifications

  • The ideal candidate will have a diploma in Office Management, Business Administration or Exercise Science; completion of an Administrative professional program and AFLCA accreditation would be an asset
  • 3 to 5 years of directly related experience
  • Excellent communication (verbal and written) skills
  • Problem solving and interpersonal skills; self-motivated with a proactive approach to all tasks
  • Knowledge of communications IT (e.g. social media platforms, video/webinar applications)
  • Ability to work well independently, as well as part of a team
  • Strong organizational and administrative management skills
  • Experience with office systems and records management
  • Ability to adapt to a changing environment, flexibility to accommodate varying work day demands
  • Knowledge of business practices in the fitness industry
  • Experience with advocacy and stakeholder meeting management and engagement
  • Must be able to demonstrate Information Technology knowledge and competency through coursework and/or work experience: specific knowledge of online educational platforms such as Moodle or other platforms, content management systems and e-commerce is strongly desired
