This position, located in our downtown Enterprise Square location, will be used to fill a three-year term position and offers a comprehensive benefits package which can be viewed at: www.hrs.ualberta.ca.

Reporting to the Director, Advancement Records, the Alfresco Records Analyst is responsible for maintaining and augmenting information for more than 325,000 alumni and donors in the Advance Bio database and the Alfresco EDRMS. The Analyst collects, analyzes and researches information and responds to faculty and department requests for information, or provides related services.  The incumbent also facilitates the engagement of alumni and donors with the university by responding to inquiries related to their biographical records.  They must do so in a highly professional manner that encourages engagement and support of the university and the building of its reputation.

Duties

  • Prepares, indexes and uploads paper and electronic documents into the Advancement Alfresco EDRMS, while ensuring the appropriate metadata is attached to each document
  • Conducts quality assurance checks on records that have been uploaded into the system to ensure that digitization quality and indexing meet the standards and expectations set by business rules and policies
  • Updates constituent records by linking scanned documents to the correct entity or updating data elements in the entity record
  • Maintains batch files of source paper records scanned into Alfresco and helps steward them through the disposition process when they have met their required retention period
  • Reviews and assesses documents to determine if they should be scanned into the EDRMS, entered into Advance as data elements, or a combination of both
  • Provides expert advice to alumni, donors, faculties and departments in response to their inquiries related to information in the Advance Bio database
  • Engages with alumni and donors to share their life events and accomplishments, for inclusion in their Advance records, to enable the university to identify opportunities for engagement and giving
  • Analyzes information and data requests to ensure the information is complete and FOIP compliant before responding to requests or updating the database
  • Reviews returned mail, researches current contact information for constituents and initiates contact where appropriate (e.g. emails, phone calls and letters)
  • Collaborates with other Advancement staff and faculty/department representatives to resolve issues related to their information and data needs
  • Performs other related duties as required


Qualifications

  • Post­-secondary education in library, archives or information management strongly preferred; equivalent combination of education and experience will be considered
  • 2­-5 years of information management, ECM and technology related experience
  • Thorough understanding of records and information management, and any associated policies, processes, procedures, acts, legislation and technologies
  • An understanding of search strategies and database content
  • Experience working in a fundraising environment preferred
  • Computer proficiency in MS office applications (Word, Excel, Visio, PowerPoint) and experience with an EDRMS/ECM
  • Experience with Advance application, PeopleSoft Campus Community and capture software is an asset
  • Knowledge and experience in interpreting and applying FOIPP; familiarity with University of Alberta policies and procedures is an asset
  • Excellent interpersonal skills combined with the ability to work with development officers, departmental staff, alumni and donors to analyze and solve issues
  • Demonstrated commitment to providing client focused service
  • Ability to make timely decisions and act on individual initiative
  • Demonstrated competencies in the areas of professionalism, results orientation, verbal and written communication, teamwork, flexibility and adaptability
