Job Details

JOB PURPOSE:

Reporting to the Customer Relations Officer and Campus Food and Drink Manager the post holder will assist in delivering timely, accurate and clear communications which support the marketing of Queen’s Accommodation and Campus Food and Drink, via a range of media channels including, printed copy, web sites, online publications and social networking platforms.

MAJOR DUTIES:

  • Provide marketing support by preparing documents and appropriate materials to a clear brief using established formats and standard software.
  • Run and present standard reports to support effective department processes using Kinetics IMS for analysis.
  • Perform straightforward analysis, manipulation and interpretation of data to assist in the implementation of surveys, to collate responses and prepare comparison reports.
  • Assist with the delivery of social media strategy, social networking presence growth, supporting the production of engaging and fresh on-brand marketing copy for online marketing and social media activities. Platforms include Facebook, YouTube, Twitter, etc.
  • Regularly review user activity on the Queen’s Accommodation and Campus Food and Drink social media sites and related websites, answer student’s routine questions and highlight comments/concerns which require follow-up to the Customer Relations Officer and Campus Food and Drink Manager.
  • Regularly review content of promotional material and web pages with particular attention to detail, key dates, content of policies, prices, and room descriptions.
  • Co-ordinate the archiving of marketing materials, images and communications and maintain information on databases.
  • To assist with the delivery of creative multimedia communications which supports the marketing of Queen’s Accommodation and Campus Food and Drink services and activities; including:

- Co-ordinating with Marketing Services for imagery job specific areas. - Proof reading content for printed literature, web pages and social media. - Communicating with catering partners to ensure offers are made available for effective promotion to students and staff.
- Collating ideas which support initiatives and events taking place across the University.
- Carrying out desk research to highlight instances of best practice in digital marketing techniques
- Assist with the development of e-communication tools, for example, collating information for the weekly Accommodation and Campus Food and Drink e-zine.

  • Deal with routine enquiries from students, staff and external customers and provide relevant information, referring more
  • complex, non-standard queries to the Customer Relations Officer and Campus Food and Drink Manager. Participate in regular team meetings as appropriate preparing briefing reports for the Customer Relations Officer and Campus Food and Drink Manager as required.
  • Ensure the University’s and department’s policies and procedures are adhered to.
  • Undertake any other duties as may be required within the remit of the post.


Planning and Organising:

  • Prioritise, plan and organise own work within set parameters to ensure operational efficiency. Assist in the planning and organisation of a range of creative and innovative marketing initiatives which contribute to the delivery of accommodation revenue targets.
  • Ensure promotional literature stocks and materials are available for campaigns and activities, for example to support
  • accommodation show rounds as part of UCAS open days and student check-in at September and January.


Resource Management Responsibilities:

  • Monitor and replenish levels of stock of literature and materials as directed following set ordering procedures.

 


Internal and External Relationships:

  • Liaise with staff within Queen’s Accommodation and Campus Food and Drink and appropriate departments in the University promoting good working relationships.
  • Handle all contact with students and customers efficiently providing a professional image of the department and University at all times.
  • Communicate and liaise with external suppliers and customers using approved standard communications in line with University policies and procedures and industry best practice.


ESSENTIAL CRITERIA:

  • A minimum of 5 GCSE’s at Grade C or above to include English Language and Mathematics or NVQ Level 2 Administration or equivalent.
  • A minimum of two years’ relevant experience in customer facing environment including one year’s experience working in a marketing communications role.
  • Evidence of proof reading. Experience of using and creating content in a business environment for social media platforms for example Facebook, YouTube, and Twitter.
  • Experience of writing and updating content on web sites.
  • Evidence of dealing with students and communicating via social media.
  • Experience of using customer surveys, collating feedback and reporting on data trends
  • Ability to use a wide range of IT packages (Microsoft Office, e-mail and internet).
  • Ability to deal effectively with face-to-face, telephone and written enquiries.
  • Capable of following oral and written instructions.
  • Excellent written and verbal communication skills.
  • Interest in and evidence of effective communication with young adults and knowledge in creating impactful two-way communication.
  • Strong interpersonal skills, including ability to communicate clearly with customers.
  • Ability to work on own initiative and as part of a team.
  • Ability to maintain a confidential and professional approach in all areas of work.
  • Ability to plan and organise workload to meet standards and deadlines.
  • Calm, flexible, willing to adapt to new tasks and duties.


The post holder will be required to split the contractual week between both units in order to meet business requirements; Monday to Friday 9:00am – 5:00pm as detailed below:

Week 1: Queen’s Accommodation (Monday and Tuesday) and Campus Food and Drink (Wednesday to Friday).

Week 2: Queen's Accommodation (Monday to Wednesday) and Campus Food and Drink (Thursday and Friday).


DESIRABLE CRITERIA:

  • A relevant diploma or degree in marketing communications.
  • Experience of working in successful marketing communications campaigns.
  • Knowledge of relevant systems, processes, policy, legislation, quality standards and procedures, e.g. Data Protection, Health and Safety.
