Reporting to the Associate Director (Programs), Education Abroad, the Exchange Programs Coordinator manages and implements the infrastructure necessary for the operation of institution-wide, faculty and department based exchange programs. The position is also responsible for delivering exchange-focused advising and support services on topics like scholarships, pre-departure, cultural preparation and training as well as assisting in the monitoring and delivery of emergency support.

Duties

  • Serves as the primary contact for all institutional-wide exchange programs
  • Ensures the ongoing positive development and operation of exchange programs, including monitoring and managing agreements to ensure targets are being met, representing the interests of exchange students, and addressing issues as they arise
  • Recommends and implements partnership and program growth strategies with multi-year exchange plans, through negotiations with exchange partners, by review and management of exchange balances, directing admission and nomination decisions
  • Provides guidance, advice and support to faculties and departments which operate study abroad programs
  • Develops and delivers exchange information, advising and specialized support services that encourage and support participation in international exchange programs
  • Manages the incoming student placement process for all institution-wide exchange programs, including assessment, admission and registration
  • Delivers program planning and advising for outbound exchange students which includes: managing the interview process, selection of institutions, course selection and credit transfer strategies; explaining foreign educational systems, foreign admission and educational requirements; explaining UAlberta and partner university policies and procedures; providing advice on travel, housing, health care, safety, security and cultural issues; working with students on the development of their academic study plans for their time abroad; manages the administration for incoming and outgoing exchange students including signing authority for Grade Report, Add/Delete and other forms, and denies or approves extension of stay requests


Qualifications

  • The ideal candidate will have a Master’s Degree with related course work; equivalent combinations of education and experience will be considered 
  • 1-3 years of experience in a related field such as educational counseling and advising or international education
  • Managerial and leadership skills and abilities, including the ability to make independent managerial level decisions, ability to ascertain and establish priorities, determine and allocate resources, etc.
  • Exceptional people and networking skills and the capacity to successfully liaise with a diverse and varied group of people from department chairs and faculty members, to students, to foreign government and university of representatives
  • Awareness of issues impacting student engagement in international learning experiences
  • Experience in program design and evaluation related to students and/or mobility programs
  • Experience in working with post-secondary students; ideally involving counseling and advising
  • Past participation in a study, work, research or practical training experience abroad (greater than 4 months)
  • Superior public speaking and presentation skills and a solid command of written and spoken English
  • Excellent organizational, time management, interpersonal, cross-cultural and negotiation skills, tact and discretion
  • Working knowledge of international educational systems, academic program planning and policies
  • Proficiency in at least one other foreign language is an asset
