The ultimate goal of the Quality Assurance suite of activities is quality improvement through a transparent process which determines strengths, challenges, opportunities, and best practices for each faculty, unit, undergraduate and graduate programs.

The Quality Assurance Coordinator is responsible for all aspects of logistical support for the reviews, including meeting coordination (scheduling, venue booking, catering, AV requirements, etc), sending invitations and making travel arrangements for external committee members, preparing correspondence, and document management.

Duties

  • Coordinates multiple committees and processes; develops annual schedules and timelines
  • Prepares schedules and itineraries, books and coordinates meeting rooms and public presentations, and ensures all logistics are arranged
  • Provides guidance and expertise to the QA process as the first point of contact for faculties/units under review and the Quality Assurance review committee members
  • Ensures activities stay on schedule/completed, and established processes are followed
  • Implements working procedures and overall process
  • Manages the establishment of committees as per the QA process and ensures all activities are carried out according to the established processes; attends committee meetings as required
  • Works with the Deputy Provost and Quality Assurance leads to identify committee members and coordinates their participation
  • Develops orientation tools for committee members
  • Maintains the Quality Assurance websites, ensures the content is accurate and current, and that members have access
  • Maintains a member database
  • Prepares templates, draft communications and correspondence as needed
  • Ensures timely communication with committee members, including sharing of documents
  • Schedules meetings for the Quality Assurance leads
  • Arranges travel and accommodation for external committee members

 

Qualifications

  • Completion of post-secondary education in Business Administration preferred; equivalent combinations of education and experience will be considered; minimum High School Diploma
  • Three to five years of related experience in a fast-paced executive office
  • Excellent communication, organizational and interpersonal skills
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Suite, and Skype
  • Exceptional accuracy and attention to detail is imperative
  • Ability to multi-task and prioritize multiple demands and deadlines
  • Knowledge of the University of Alberta policies and procedures is an asset
  • Highly motivated; ability to work independently and in a team environment
