The Physician Learning Program (PLP), established in December 2009, is a collaborative program between the University of Alberta, University of Calgary, and Alberta Medical Association (AMA). At the University of Alberta, PLP is operationally and administratively housed under Lifelong Learning Portfolio.

The Knowledge Translation Coordinator will support short- and long-term projects in a collaborative setting through working with a team including research assistants, project coordinators, physician leads, data analysts, and administrative assistants. Specifically, this position will be responsible for designing and executing various knowledge translation (KT) initiatives and provide support the Clinical Audit and Feedback Coordinator when assigned.

The successful candidate will have strong organizational skills, a keen eye for detail, and the ability to manage multiple priorities in order to complete work in a timely and accurate manner.

Duties

  • Works with internal and external partners to identify physician engagement opportunities and educational and health system resources to support knowledge translation activities for projects and initiatives
  • Works with the Physician Leads and Physician Learning Program (PLP) Team to engage primary care and specialty physician groups to develop and support PLP projects
  • Works with Physician Leads and PLP Team to develop and deliver feedback sessions of data and audit reports, facilitate focus groups and other knowledge translation activities
  • In collaboration with the RSI and Physician Leads, assists in identifying barriers to knowledge use, designing and tailoring knowledge translation interventions, and evaluating outcomes; disseminates standards of care information when applicable.
  • Assists and acts as a resource for additional projects as identified by the PLP Chair, Physician Leads, RSI Lead, which may include activities such as reviews of recommendations, table or database development, manuscript writing and editing and report writing
  • Working with the Information and Communications (I&C) Advisor, creates templates for project reports, posters, flat sheet, website, and other marking, promotional, and/or communication materials
  • Reviews current project information on website to ensure accuracy and updates as required
  • Prepares Maintenance of Certification and/or Main-Pro accreditation applications for all PLP projects; provides referral information on appropriate continuous medical education credits
  • Works with the RSI Lead to develop Knowledge Translation tools for project participants
  • Establishes and maintains quality controls for all project documentation; manage archives of project documentation
  • Utilizes project management tools to monitor projects and reports for the RSI Lead; including but not limited to on-going tracking on expenditures, and preparation of monthly progress reports
  • Liaises with University of Calgary PLP office, when appropriate
  • Facilitates communication and branding for the PLP
  • Promotes working relationships with the University of Alberta and the Faculty of Medicine and Dentistry staff, Alberta Medical Association (AMA), College of Physicians and Surgeons (CPSA), Alberta Health Services (AHS), Alberta Health and others as they arise
  • Organizes and/or assists with the coordination of special projects, functions and events
  • Assists in the development of project protocols to obtain and secure the data required for physician feedback and improvement; develops the reports for physician feedback and develops evaluation tools to assess the impact of the project on physician performance
  • Creates and maintains databases for project outcomes, experiences and progress to identify and select physicians for specific projects, stakeholder relations, and other databases as required
  • Assists with the development of materials for presentation to local, national and international conferences and seminars
  • Assists in writing and submitting grant and ethics applications, research agreements, abstracts, and poster presentations
  • Assists in the preparation of abstracts, papers, and develops content for poster presentations
  • Manage smaller projects or complex tasks as required
  • Investigates and develops new training offerings for researchers and research users
  • Monitors journals and conducts environmental scanning and research related to KT activities and initiatives, including analysis of findings and drafting of reports
  • Assists in preparing project materials including consent form templates, study aides, questionnaires, data collection forms and study specific manual of operations for every PLP project
  • Reviews changes/updates to stakeholder programs to identify potential opportunities for collaboration
  • Represents PLP program at meetings and events at the discretion of the RSI lead; presents and manages booths at conferences when applicable
  • Reviews changes/updates to stakeholder policies to identify potential perceived or unperceived learning needs
  • Working with the I&C team, develops and creates communication strategies and tools (website, monthly newsletter, PowerPoint presentations, etc.)
  • Directs functions to ensure all arrangements are in place and that the Project Committee have all necessary information; troubleshoots as required
  • Serves on various committees involved in PLP operations; assists with the organization of working groups to advance PLP planning and implementation
  • Assists in the maintenance and preparation of project status reports, documentation and project governance standards
  • Provide written and/or verbal status reports to the RSI lead
  • Contacts physicians and coordinates interviews; participates in the interviews as required
  • Works with PLP members to develop and orchestrate responses to learning opportunities to support stakeholders
  • Engages, supports and promotes professional development initiatives; recommends appropriate actions to PLP team
  • Arranges for distribution of information to stakeholders through a variety of communication tools; provides updates as necessary
  • Assists with stipend or salary documentation for committee members or external stakeholders
  • Monitors, maintains and keeps up-to-date records of expenses related to the project(s)
  • Responds to general inquiries relating to the Research, Scholarship and Innovation portfolios
  • Initiates and undertakes special projects as required for RSI Lead or Associate Dean Lifelong Learning
  • Works with the RSI Lead to coordinate project planning committee meetings, including but not limited to the following: circulating needs assessments, booking the venues, AV and parking; collecting disclosure statements, updating the budgets, updating committee membership contact information, obtaining credentials and professional titles, etc.
  • Performs other related duties as required

Qualifications

  • The ideal candidate will have a degree in medicine, nursing, or pharmacy; equivalent combinations of education and applicable experience will be considered; minimum of related post-secondary education  
  • Minimum 5 years of related experience in an organization of significant size, complexity and diversity
  • Certification and/or education in project management is an asset
  • Excellent written and verbal communication skills
  • Strong interpersonal, organizational, and relationship management skills
  • Experience in knowledge translation and medical educational design would be an asset
  • Ability to work effectively independently and in a team environment
  • Competent and efficient, able to multitask, able to take initiative with tasks and able to work in a team environment
  • Computer proficiency in Windows using MS office (Word, Excel and PowerPoint), Google Apps, and eClass (Moodle) is an asset
  • Ability to demonstrate confidentiality with a positive professional approach
  • Proficiency with University of Alberta policies and procedures is an asset
  • Positive attitude and ability to work independently and as part of a team
  • Ability to demonstrate confidentiality with a positive professional approach
  • Proficient in operating standard business machines
  • Ability to work with physicians, nurses, allied health, University of Alberta and University of Calgary staff
  • Adaptability to changing environment, flexibility to accommodate varying workday demands
  • Knowledge of health care industry and terminology is an asset
  • Ability to perform searches on databases, websites, etc. to assist in project delivery
