Officer: Professional Services (post level 10/11)

Duties and responsibilities:

  • Manage the front office of the department
  • Liaise with staff on the Bloemfontein and Qwaqwa campuses
  • Liaise with teaching assistants, research associates and students on the Bloemfontein campus
  • Handle all aspects regarding the financial management of the department, including but not limited to: requisitions, invoices, claims, budgets, and journals
  • Report faults
  • Request work orders and quotations as required
  • Perform various administrative duties such as record keeping, minute taking and scheduling appointments
  • Order stationary
  • Maintain an organised filing system as required
  • Capture and transfer marks of students
  • Record research outputs
  • Renew journal affiliations
  • Organise special examinations / tests, external moderation and departmental events and functions
  • Make travel and accommodation arrangements as required
  • Monitor and order library and course books
  • Handle undergraduate and postgraduate student enquiries and applications
  • Administer 2nd and 3rd year contract appointments
  • Perform administrative duties relating to necessary documentation such as tests, study guides and other required documents

  • Inherent requirements:

  • B.A. degree or equivalent
  • At least two (2) years' administrative experience

  • Required competencies:

    • Computer literacy (MS Word, Excel and PowerPoint)
    • Ability to communicate accurately and effectively in English through various communication channels
    • Ability to handle pressure and keep to deadlines
    • Ability to plan effectively
    • Ability to take initiative and think creatively
    • Ability to work accurately and pay meticulous attention to administrative detail

    • Critical-thinking skills
    • Discretion, reliability and dependability

    Recommendations:

  • B.A. Hons. in English
  • Knowledge of Gradebook, PeopleSoft and Blackboard
  • Valid driver's licence

  • Assumption of duties:

    1 January 2017
