Faculty of Humanities Office of the Dean

Assistant Officer (post level 13)

Duties and responsibilities:

  • Manage all meeting administration, including coordinating meetings and workshops, arranging for equipment, typing and checking final minutes, notices, correspondence and agendas, as well as ensuring the circulation of documents to Academic Departmental Heads / committees / persons where action is required.
  • Manage central photocopy and scanning facilities for the faculty and arrange for maintenance and repairs of photocopy machines when necessary.
  • Liaise with Xerox and other service providers on the contracts of photocopy equipment and machines.
  • Liaise with lecturers and faculty staff regarding photocopying and scanning.
  • Generate monthly cost centre reports and checks, and do invoicing of photocopy expenses for departments.
  • Handle billing and banking of petty cash of the Dean's office.
  • Manage photocopy budgets for the Departments.
  • Responsible for the procurement of stationery and groceries for the Dean's office and tea room.
  • Obtain and appraise quotes, and process orders for all office requirements.
  • Process invoices and other payments relating to purchases.
  • Purchase assets for the entire department, keep a record of all purchases and ensure that there are sufficient funds before purchasing items.
  • Liaise with the Finance Department to transfer funds to the required allocation code.
  • Perform general administrative work, including typing, faxing, making photocopies, and scanning.

    Inherent requirements:

  • Relevant Diploma or post-school qualification in the administrative or secretarial field.
  • Two (2) to three (3) years' relevant work experience in the Higher Education and Training sector.
  •  

    Required Competencies:

  • Proven experience in meeting administration.
  • Good interpersonal and communication skills and the ability to function with ease in the University's richly diverse working environment.
  • Intermediate computer skills in MS Word, Excel and PowerPoint, as well as PeopleSoft.
  • Experience in word processing, spreadsheets and databases.
  • The ability to work under pressure.
  • The ability to work accurately, with attention to detail.
  • Organisational skills.
