The Wits Business School (WBS) is an internationally recognised business school in Africa. It has over 40 years of experience in business education and has over decades’ spearheaded innovation, teaching and research excellence in South Africa.

The School invites talented, qualified and self-driven individuals to apply for this vacant position within its Facilities Department.

The successful candidate will be responsible for scheduling all WBS programmes, official activities and manage all aspects of catering. These include classrooms (on and off-site), meeting rooms and sourcing of external venues as and when required. S/he will have to ensure that all administrative functions and tasks relating to the above are fulfilled.  The incumbent will also be required to be part of the OHS&E team.

This role requires a person with excellent record/minute keeping, sound budgeting, experience proven ability to negotiate and obtain quotations, ability to handle and process large volumes of paper work, management of all stakeholder expectations and timeous and efficient communication.

Key responsibilities

  • Responsible for scheduling and bookings of all venues required by WBS internally and externally;
  • Communicate with the service provider with regards to catering, enquiries and requests;
  • Ensure that all staff catering requirements are  met timeously;
  • Handle of complaints from stakeholders inclusive of student complaints;
  • Compile and adhere to the budgeting processes;
  • Assist with the administration and preparation of tender documents that resides within this portfolio;
  • Ensure that payment for services rendered is made timeously and the correct allocation of costs is done correctly;
  • Be part of the OHS&E team and be responsible for the administrative/ minute and record keeping as prescribed by the Act;
  • From time to time, assist other staff to ensure that the department’s/section’s and the WBS objectives are met. This may include working after hours and over week-end.

Minimum academic and job experience

 

  • Matric with a Diploma in Project Management or equivalent;
  • 3 years working experience within a similar environment with two years of scheduling experience.

  •  A valid driver’s license;
  •  Proficiency on MS Package and Outlook;
  •  Attention to detail;
  •  Diplomacy;
  •  Excellent record keeping;
  •  Negotiation;
  •  Ability to build and maintain relationships with internal and external clients;
  •  Planning, organizing and multitasking;
  •  Team player.

 

Additional details

  • Diploma in Events Management;
  • Training in Occupational Health and Safety;
  • Customer Relations or any other equivalent qualification;
  • Minimum of 4 years working experience within a tertiary institution;
  • Some experience on a scheduling package/s.
