RESPONSIBILITIES:

The incumbent is expected to provide effective office administration as well as secretarial and operational support to the Department of Zoology and Entomology and help ensure the successful functioning of the Department, with the primary objectives being excellence in teaching and research.
Responsibilities include, but are not limited to:

  • Providing personal assistance to the Head of Department, including assisting with HR-related and financial matters, according to University policy;
  • Acting as the first point of contact for the Department of Zoology and Entomology;
  • General office administration, handling of incoming and outgoing correspondence, as well as enquiries from students, colleagues, industry partners and members of the public;
  • Liaising with the rest of the Faculty and University, on behalf of the Department;
  • Academic administrative support and maintaining postgraduate records;
  • Database management and capturing of departmental research outputs;
  • Co-ordinating and arranging events and meetings, including minute-taking at meetings.

 

MINIMUM REQUIREMENTS:

  • Relevant three-year B-degree with at least three years’ experience that includes office administration; OR
  • Matric with Mathematics as a subject, and an applicable secretarial and/or office administration qualification and four years’ experience that includes office administration.

 

REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Sound interpersonal skills, and the ability to liaise professionally with a wide variety of persons within and external to the University;
  • Excellent computer skills, including working knowledge of applicable programs (e.g. MS Word, Excel, PowerPoint, e-mail and internet);
  • Appropriate language skills including excellent verbal and written communication skills;
  • Strong attention to detail to ensure accuracy and quality of documentation and administration;
  • Ability to maintain high levels of confidentiality and professionalism.

 

ADDED ADVANTAGES AND PREFERENCES:

  • An effective working knowledge of appropriate modules of the PeopleSoft system;
  • Experience in a higher education environment.

The total remuneration package for this position ranges from approximately R 289 721 to R 347 490 as determined by UP policy guidelines. (These amounts include the University’s contributions to standard UP benefits, namely provident fund, group life and funeral cover, but exclude contributions to medical aid, as the latter varies per employee.) UP subscribes to the BESTMED medical aid scheme and contributes 50% of the applicable monthly premium.
