Faculty of Engineering - Facilities and Services

This is a professional staff level 4 position.

The Faculty of Engineering at the University of Auckland, is the leading Engineering Faculty in New Zealand. We provide a unique education for highly talented students across the full range of Engineering disciplines within state of the art facilities. Our research focuses on the translation of understanding to positively impact individuals, communities and the wider environment. We are looking for a proactive, and committed Facilities Coordinator to join our facilities team. The position offers variety and challenge with plenty of opportunity for development.

Key accountabilities within the faculty include:

Operational activities:

  • Property maintenance liaison – key faculty contact for reporting works and managing expectations
  • Furniture and fittings coordination – advice on availability, repairs and storage as well as assisting with installation and removal
  • Space management and utilisation – Ensure maximum utilisation of space and ensure space guidelines are adhered to
  • Security and access - Ensure that staff and students have the appropriate security and access for buildings and rooms, liaising with Group Services Administrators, Faculty Assistant and Property Services where required
  • Supplier contracts – monitor service delivery and ensure all goods and services are provided to the faculty in an appropriate manner.
  • Preventative maintenance checks -   ensure facilities are maintained and checks kept up to date
  • Health and Safety - Take remedial action following all accidents and incidents that occur within faculty buildings and spaces, working with the Health and Safety Manager and/or Facilities and Services Manager as appropriate
  • Assist with the annual hazard review and on-going hazard management issues

 

Customer Service

  • Ensure actions demonstrate excellent customer service through reliable, efficient and accurate execution of service deliverables.
  • Where appropriate or as directed, actively seek feedback regarding service delivery from stakeholders /users /customers and input into continuous improvement initiatives and activities. 


Relationship Management

  • Demonstrate a high level of interpersonal skills through relationship management, advocacy and negotiation either within the faculty, the University or with outside organisations or key stakeholders


Key skills and experience

To be successful in this position you will be team-oriented and a creative individual who meets targets in timely and effective ways. You will be highly skilled in customer service.You will hold a tertiary qualification or be able to provide evidence of vast experience in a large complex organisation. You will have experience in facilities and equipment management and be able to demonstrate best practice in Health and Safety. Problem solving skills and good judgement are a must, as well as the ability to roll up your sleeves and actively assist in undertaking tasks when required. Good clear communication skills are essential.
