Job Purpose
The Taught Student Administration section within Registry is primarily responsible for the progression of our students from Registration to Graduation, and the maintenance of their associated student records. This will include all of our compliance obligations and managing the process involved in students making this journey (e.g. Leave of Absence, programme transfers, End of Session, etc.)
The post is one of two Taught Student Administration Team Leaders roles for the team of Taught Student Administrators, a Taught Student Administration Assistant and a Support Officer. Members of Taught Student Administration work primarily with students from named Schools, initiating and/or answering queries from staff and students in those Schools about all aspects of student record data and students progress. The team, as part of Registry, also undertakes projects and activities such as complying with the Universitys reporting requirements under the UK Visas and Immigrations Points Based System and involvement with BIRMS (Banner Interface Records Management System) developments and enhancements, with a particular role in providing advice and support for School users of BIRMS.
This is a key role in the Student Administration team in Registry. The team leader will oversee the day-to-day management of processes and procedures in the team; have particular responsibility for the electronic systems which support the work of Taught Student Administration and have oversight of student fees management within section.
Person Specification
Qualifications:
- A good honours degree or relevant experience, such that the tasks detailed in the job description can be carried out effectively (essential)
- A management qualification, such as ILM Team Leading/First Line Management (desirable)
Essential Knowledge and Skills:
- Excellent interpersonal and communication skills, including ability to influence and persuade others, and to develop positive and productive relationships with customers and colleagues
- Understanding of management competencies, managing the work of others, and building/developing a team
- Able to demonstrate excellent organisational skills including the ability to appropriately prioritise workloads (own and others), to effectively multi-task and to work productively and effectively under pressure and to tight deadlines
- Evidence of being able to use initiative and own judgment effectively and appropriately
- Understanding of the academic policy matters and government legislation affecting UK HEIs, in particular those issues related to the UK Visas and Immigration Points Based System
- Exceptional IT skills including with MS Office suite as well as large multi-user databases, with a proven ability to learn new on-line and off-line systems/packages quickly and thoroughly is essential
- Proven ability to learn new processes quickly and thoroughly
- Knowledge, gained through practical experience, of the issues related to the management and development of complex multi-user systems such as Banner/BIRMS
- Evidence of excellent attention to detail and ability to complete work to a high level of accuracy
- Able to demonstrate a flexible approach to working and learning styles
Experience:
- Evidence of successfully leading a team, preferably in an HE setting, resolving complex and challenging problems and determining a way forward (essential)
- Experience of success in a customer-focussed environment, including evidence of negotiating skills
- Evidence of having successfully developed e-systems to support process and procedure (either personally or as senior user)
- Recent experience of working with complex multi-user databases, for example Banner/BIRMS
- Experience of planning, reviewing and documenting complex procedures
