Responsibilities

The incumbent will be responsible for:

Office Administration:

  • High level of professionalism;

  • Administer the office effectively and efficiently;

  • Ensure safety and accurate record keeping;

  • Maintain an efficient filing system;

  • Ensure the layout of the document meets professional standards;

  • Scan, fax and photocopy required documents;

  • Order and maintain office supplies and stationery;

  • Coordinate management IT supplies;

  • Cooperate with and assist other assistants to maximise work performance;

  • Ensure that purchase orders are issued and paid.

Enquiries:

  • Give a positive image in person and over the telephone;

  • Take messages and ensure that they are received;

  • Answer the telephone promptly with good telephone etiquette;

  • Respond to all office communiqué promptly;

  • Be professional and articulate speech;

Communication:

  • Read, send and receive email messages and printed communication;

  • Take initiative to be informed about the activities of the department and of the University;

  • Able to keep track of communication – maintain records of communication;

  • Be familiar with etiquette and protocol expected of this office;

  • Make communication a mutual responsibility;

  • Maintain contact lists and professional networks.

Dairy Management:

  • Responsible for diary management;

  • Schedule appointments and meetings;

  • Submit apologies prior the meeting/s;

  • Confirm attendance and accept invitations upon consultation.

Self-Development:

  • Identify internal training and training needs;

  • Attend CE@UP and compulsory courses;

  • Share knowledge with other colleagues.

Event Coordination:

  • Making arrangements for Academic Enrichment events in collaboration with the appropriate departmental personnel and/or departments.

Minimum Requirements

A Grade 12 Certificate plus four years’ appropriate experience, including experience in office administration, secretarial work and financial administration.

OR

Secretarial certificate plus two years’ experience, including experience in office administration, secretarial work and financial administration.

  • Proven ability to make travel and accommodation arrangements;

PLEASE NOTE: All shortlisted candidates may be required to participate in relevant skills assessments as part of the selection process.

The total remuneration package for this position ranges from approximately R316 774.71 to R379 517.30 as determined by UP policy guidelines. (These amounts include the University’s contributions to standard UP benefits, namely provident fund, group life and funeral cover, but exclude contributions to medical aid, as the latter varies per employee.) UP subscribes to the BESTMED medical aid scheme and contributes 50% of the applicable monthly premium.
