Job Purpose

Reporting to the School Administration Manager, the post-holder is responsible for providing executive support to the Head of School and School wide senior administrative support. The post holder must have the ability to work in a busy environment and cope with conflicting demands as the post requires a significant amount of initiative and personal responsibility.

Working in close partnership with the Head of School and other key academic and administrative post holders the post holder will deliver a comprehensive range of administrative tasks to a high standard of completion. This will include managing the Head of School’s diary, juggling demands from a range of sources, providing comprehensive meeting support, drafting and responding to correspondence as appropriate and maintaining effective and efficient filing systems. In many instances the post holder will be the first point of contact with people from both within and outside of the University. The post holder will also be required to prepare documents and briefing papers and lead on specific non-programme related projects, systems and processes across the School as necessary.

Person Specification

Essential:
• Considerable experience working in a PA/executive support role
• Educated to first degree level or equivalent, preferably in an arts/humanities discipline
• Experience of administrative processes relating to:
• Supporting projects
• Monitoring budgets
• Recruiting staff
• Organising overseas travel
• Providing a timely secretariat service to meetings and committees
• Organising events
• Excellent IT skills including advanced knowledge of word processing, spreadsheet and presentation software packages, preferably Microsoft Word, Excel and PowerPoint
• Proven ability to manage own time effectively
• Experience of drafting documentation for the approval of others
• Ability to solve problems and implement effective procedures
• Ability to assimilate large amounts of disparate information and to analyse and make judgements relating to complex subject matters
• Ability to communicate clearly and use appropriate language both orally and in writing
• Considerable experience of servicing committees and taking follow-up action
• Ability to build collaborative working relationships with peers and colleagues
• Proven ability to apply a high level of tact and diplomacy and good interpersonal skills, dealing with staff at all levels within the University and with external organisations
• Proven ability to work with competing deadlines, prioritising appropriately and maintain a positive working attitude
• Proven track record of ability to integrate with and function effectively as part of a busy and diverse team with demonstrable ability to work in a mutually supportive way and towards shared priorities
• Flexible, positive and creative approach to work and meticulous attention to detail
• Flexible and adaptable to change and have proven change management skills

Desirable:
Knowledge of the University’s VLE (Canvas)
