Job Purpose

Academic Services Administration
To undertake key AS-wide administrative functions ensuring that processes are efficient, consistent
and fit for purpose. Administrative duties include, but are not limited to:

General:
To provide a first point of contact for queries relating to Academic Registrar’s Office administration by phone, email and in person;

To assist the PA and admin team in supporting the SMT and the Academic Registrar with diaries, meetings, note taking, travel and correspondence.

Finance and Human Resources:
To process purchase orders and invoices for Academic Registrar’s Office administrative budgets;
To assist in the delivery of HR processes across Academic Services.
To assist in the delivery of finance processes across Academic Services.

Person Specification

Skills and Behaviours

Excellent interpersonal and communication skills. The post holder will be working with a wide range of staff across the University and must be able to communicate appropriately both verbally and in writing, with colleagues at all levels and with agencies outside the University.
A firm but diplomatic attitude with the ability to prioritise, negotiate and use one’s own judgement when responding to enquiries from staff (often senior staff) and students.
Well-developed organisational abilities e.g. ability to implement, maintain and initiate changes to office procedures, keep accurate records and produce status or progress reports.
Experience of budget and financial management procedures and able to demonstrate the ability to construct and maintain financial records.
Able to show a conceptual and analytical approach to problem-solving, using own initiative.
A belief in the value of Higher Education and a customer (student and staff) focused approach.
Evidenced ability to interpret, analyse and present information and formulate clear proposals on the basis of the analysis, with an exceptional eye for detail.
Evidenced ability to work independently, accurately and to deadlines within a team environment.
Experienced and confident user of IT packages, including Word, Excel, Access and PowerPoint.
A high level of discretion in dealing with confidential matters.
A professional approach that, even in challenging times, presents as a calm and professional member of the team.
