Senior Assistant Officer (post level 12)

Duties and responsibilities:

  • Act as liaison officer between the Department, University Financial Division, University Research Office and Industry.
  • Responsible for financial and administrative support as required in the Department.

General Administration:

  • Provides administrative support to line manager (HOD/Line Manager).
  • Responsible for general office administration and operations including:
  • Schedule appointments
  • Filing
  • Responsible for meeting administration
  • Arrange events within the department or section, and
  • Responsible for travelling and accommodation arrangements.
 

Financial Administration:

  • Request and appraise of quotations.
  • Capture and approve requisitions.
  • Receive purchase orders and provide it to suppliers.
  • Process invoices for payments of service providers.
  • Create and distribute invoices.
  • Manage ad-hoc claims of department.
  • Manage employee claims (F1, F2, etc.).
  • Approve job requests.
  • Purchase and order office supplies, stationary and equipment.
  • Generate cost centre reports and check on a weekly and/or monthly basis.
  • Manage and organise departmental vehicles.
  • Monitor telephone accounts and bring discrepancies under the attention of the line manager.
  • Compile a budget for the maintenance and management of the laboratory.
  • Reconcile the NRF and/or other entities for external auditing in co-operation with entity holders and the Department of Finance.
  • Reconcile third stream entities.
  • Compile a report on different entities and estimate further expenditure.

 

Inherent requirements:

  • Financial Degree or
  • Grade 12 with 5 years’ experience.
  •  

    Required competencies:

    • Quick learner
    • To be prepared for regular training.
    • Understand and perform financial related activities in accordance with UFS policies and regulations.
    • Trustworthy and must be able to uphold confidentiality of sensitive information.
    • Good interpersonal communication skills, the ability to function with ease in the University’s richly diverse working environment and also full willingness to act in service of students and researchers.

     

    Recommendations:

  • Sound knowledge of People Soft Financial Systems
  • Sound knowledge of UFS financial policies and regulations.
