Alumni Relations and Development is responsible for the delivery of a coordinated and strategic programme of activities, including reunions, alumni receptions and black-tie dinners.

This high-performing events team make a valuable contribution to building philanthropic support and engaged alumni for NZ’s leading tertiary institution. An opportunity has emerged for an Event Coordinator to join the ARD Events Team. Reporting to the Events Manager, you will provide hands on support in the delivery of an annual programme of successful alumni and donor events.

Key accountabilities will include preparing event briefs, producing run sheets, managing event budgets, as well as providing effective and efficient database management support for senior members of the Alumni Relations & Development team.

Success will be measured through your ability to coordinate and manage a wide range of events from conception to completion; your knowledge and understanding of the key aspects of event management will be critical for this role. We are seeking a process driven individual with exceptional organisational skills combined with initiative, a calm disposition, resilience and the ability to build strong relationships. 

You will have experience in the planning and delivery of events within a large multifaceted organisation whilst managing expectations of key stakeholders. Ideally you will hold a relevant tertiary qualification in communications or events and have a minimum of two years’ experience in an events coordinator role. Excellent administration experience with database management would be preferred: Event planning in a medium to large organisation will be advantageous.

Advanced Microsoft Office capabilities, particularly with the use of Excel, are essential. Candidates with highly developed written and verbal communication skills, excellent time management and a robust sense of humour complete the checklist. This small team environment necessitates a flexible and proactive approach.
