Job Purpose

This role is based in the Department of EESE within the School of Engineering (College of Engineering and Physical Sciences). The School, which is the largest in the College with approximately 100 members of staff (academic and professional services), is a multi-department School comprising the disciplines of Civil Engineering, Mechanical Engineering, and Electronic, Electrical and Systems Engineering. The role is a fixed term one, in support of a strategic equipment project. The project provides a test equipment facility for use by researchers from EESE, from elsewhere in the University of Birmingham (for example, the School of Physics), from other Universities, and from industry.


The post holder will be expected to take a lead role in the administration and marketing aspects of the project.

In the day to day management of the facility, the post holder, as a member of the Operations Group within the project, will implement the strategies, policies and plans set by the project’s Steering and Management Group, while running the equipment bookings process through the StratoCore equipment management system, assisting the project’s technician in scheduling the maintenance of the equipment, and ensuring that documentation such as training materials and operating procedures are complete, up to date and fit for purpose. The post holder will also be responsible for regular monitoring and reporting on the pattern of usage of the facility.

As a member of the project’s Marketing and Publicity Group, the post holder will be responsible for reaching out to users and publicising current and future capabilities. This will involve maintaining a web page, generating and distributing regular newsletters, maintaining direct contacts with existing and potential users, and responding to their queries. The post holder will maintain a mailing list of existing and potential users, and will arrange to publicise the facility through relevant IET Technical Networks and similar groups, and through relevant academic conferences and colloquia.

 

Person Specification

• Educated to at least Advanced Level (or equivalent qualifications and work experience) and hold at least a GCSE in Mathematics and English at C or above (or equivalent).
• Significant previous experience in an office administration role, in a scientific or technical environment.
• Proficient in the use of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the ability to learn new IT software quickly to support, inform and improve operational effectiveness.
• Excellent demonstrable interpersonal, organisational, team working and communication skills.
• A high level of discretion and sensitivity, required for dealing with external users of the facility.
• Ability and demonstrable experience of working accurately and paying close attention to detail.
• Aptitude to prioritise own workload and to complete all tasks accurately and to a routinely high standard even when working to challenging and/or conflicting deadlines.
• Capability to manage own workload autonomously and work as an effective team member.
• Demonstrable ability to provide effective, high quality customer service and to make suggestions relating to service enhancements.
