Job Purpose
Reports to the Director of the Barber Institute of Fine Arts
This position provides responsive and efficient high-level organisational and administrative support to the Director. In addition to scheduling the Director’s diary, co-ordinating and servicing meetings and travel, duties include managing correspondence and communications, researching and working on special projects, and assisting with the organisation of events and activities generated by the Director’s office. The post-holder deals with a diverse range of internal contacts at all levels across the University, external stakeholders and visitors, deploying the highest standards of courtesy, confidentiality and tact.
Person Specification
• Demonstrable experience of working in a PA/executive support role
• Educated to first degree level or equivalent, preferably in an arts or humanities discipline
• Experience of working in an Arts, Heritage or Higher Education environment
• High standard of literacy, ability to communicate clearly in writing, using appropriate language, grammar and tone, and with meticulous attention to detail
• Good numeracy skills
• Excellent IT skills, including Outlook, Word, Excel spreadsheet, PowerPoint
• Experience of providing a timely and accurate secretariat service for meetings and committees
• Strong organisational skills, ability to manage own time effectively, work to competing deadlines, and use initiative to anticipate challenge and opportunities
• Demonstrable understanding of confidentiality issues, evidence of a high level of tact
• Ability to apply excellent interpersonal and communication skills when dealing with colleagues and contacts at all levels
• Experience of working enthusiastically as part of a busy small team and a proven capacity to work in a mutually supportive manner
• Flexible and positive approach to work
• Evidence of an informed interest in the cultural sector
