Job Details
You will join our small team responsible for ensuring Human Resources (HR) is compliant with the General Data Protection Regulations, which come into force from May 2018.
Working with colleagues from across HR, you will help ensure the data we hold - particularly on paper based documents - is in line with staff data retention guidance.
Highly organised, self-motivated and proactive, you will have the ability to work to strict timeframes.Confidentiality, accuracy and attention to detail are highly important to us.
Key responsibilities As a Data Retention and Compliance Assistant, your main duties will include:- Understanding our approach to staff data retention and communicating this to staff within HR and to others working with people-related or HR-generated data;
- Assisting with the purging of data to ensure compliance with the General Data Protection Regulations (GDPR); this will involve removing documents from paper files held in various locations across the University campus;
- Offering training and support to members of HR staff about data retention;
- Making suggestions as to how to improve HR administrative practices and processes to ensure we continue to operate in compliance with the data retention guidance;
- Contributing to the creation of good practice guidelines for HR staff;
- Contributing to decisions on changes to operational procedure and practices and the development of an annual data deletion schedule.
These duties provide a framework for the role and should not be regarded as a definitive list. Other reasonable duties may be required consistent with the grade of the post.
Person specification As a Data Retention and Compliance Assistant, you will have:- An excellent attention to detail, taking a methodological approach to removing or retaining data;
- Excellent verbal and written communication skills;
- Experience of building positive working relationships, across a team;
- An organised but flexible and proactive approach to work, with experience of organising and managing priorities and meeting deadlines;
- Handled confidential and sensitive information.
