Department Description

Division for Social Impact Administrative Officer A1(Twoyear fulltime fixedterm Contract with benefits) (Ref. ASI/017/0118) The role of the Division for Social Impact (DSI) furthers the imperative of Social Impact across the institution by creating a conducive environment to enhance societal interaction and facilitate impact.

The Division facilitates, supports, and enables SU Faculties and Support Services to develop initiatives and programmes across the core functions (Teaching & Learning and Research) of the University that engage a wide range of communities, while fostering and maintaining institutional partnerships with a wide variety of stakeholders.

The Division manages an institutional electronic platform that facilitates interface between the different stakeholders called the Social Impact Platform.

This position provides support to the Manager:

Knowledge Information Systems.

ASI/017/0118) Die rol van die Afdeling vir Sosiale Impak (ASI) bevorder die noodsaaklikheid van sosiale impak oor die instelling deur 'n gunstige omgewing te skep om samelewings interaksie te bevorder en impak te fasiliteer. Die Afdeling fasiliteer, ondersteun en stel die US Fakulteite en Ondersteuningsdienste in staat om projekte en programme te ontwikkel vir die sleutelfunksies (Onderrig & Leer en Navorsing) van die Universiteit wat skakel met 'n wye reeks gemeenskappe terwyl institusionele verhoudings met 'n wye verskeidenheid belanghebbendes onderhou en bevorder word. Die Afdeling bestuur ‘n elektroniese platform genoem die Sosiale Impak Platform wat interaksie tussen belanghebbers fasiliteer. Hierdie pos verskaf ondersteuning aan die Bestuurder: Kennis inligtingsisteme.    

Duties

  • Bestuur van dagboeke;
  • Tref van reis en verblyfreëlings;
  • Ondersteun die voorbereiding van geleenthede saam met die geleentheidsbestuurder;
  • Ondersteun die Bestuurder: Kennisinligtingstelsels met die identifisering van opvolgareas om omvattende dekking van die Universiteit Stellenbosch (US) se Sosiale Impak(SI)inisiatiewe te verseker;
  • Skakel en volg op met SIbelanghebbendes rakende die volledigheid van hul inisiatief rekords;
  • Voer gehaltebeheer/redigeringsfunksie van inisiatiefrekords uit om akkuraatheid en volledigheid te verseker;
  • Profileer SIstories op 'n interessanteen toeganklike wyse op die platform;
  • Verseker dat die platform bygewerk, toepaslik en gebruikersvriendelik is;
  • Doen verslag oor webontleding;
  • Doen verslag oor Twitterontleding;
  • Hulpverlening met die bestuur van die SharePointplatform;
  • Identifiseer en rapporteer enige foute of probleme op die stelsel;
  • Hulpverlening met die ontwikkeling van die vennoot en studenteoplossings van die platform;
  • Hulpverlening met belanghebbendes se betrokkenheid rakende die stelsels se gebruikervereistes;
  • Hulpverlening met die sakeontledingsproses;
  • Hulpverlening met gebruikeraanvaarding en toetsing van die stelsel;
  • Hulpverlening met gebruik van die stelsel;
  • Hulpverlening met profilering van SIaktiwiteite, geleenthede en inisiatiewe op die Sosiale Impakkennisplatform, Twitter en interne en eksterne gedrukte en ander media;
  • Skakel met Korporatiewe Bemarking om te verseker dat SIgeleenthede en stories genoegsaam gedek en berig word;
  • Verleen hulp om reklamehandelsmerkitems vir die Afdeling Sosiale Impak (ASI) te vind. Profileer verskillende inisiatiewe op die SIplatform;
  • Vind nuusstories op die hoofUS en alle fakulteitswebtuistes wat op SI van toepassing is;
  • Vind die US se SIstories wat in eksterne media gepubliseer is;
  • Twiet die US se SInuusstories;
  • Twiet die US se SIstories in die eksterne media;
  • Hertwiet SIstories van toepaslike rekeninge wat gevolg word;
  • Hulpverlening met bemarking van spesifieke befondsingsgeleenthede;
  • Opstelling van elektroniese uitnodigings;
  • Hulpverlening met die kommunikasie en bemarking van die geleentheid;
  • Dien as sekretaris by die simposium;
  • Hulpverlening met die opstel van die simposiumverslag;
  • Hulpverlening met die opstel van die SIjaarverslag, simposiumverslag en SI@USpublikasie;
  • Werk ASIbeleidsdokumente, notules en beelde op die SISharePointruimte by;
  • Stel kwartaalikse SInuusbrief saam;
  • Samestelling van die ASI se jaarkalender;
  • Lewer die ASIgeleenthede en datums in vir die US se almanakBied ondersteuning aan die Bestuurder: Kennisinligtingstelsels wanneer versoek;
  • Bied ondersteuning aan die Direkteur: Sosiale Impak wanneer versoek;
  • Hanteer RSVP’s rakende portefeuljeforumvergaderings. 

 

Managing diaries;

  • Making travel and accommodation arrangements;
  • Assisting with preparations for events in collaboration with event manager;
  • Supporting the Manager: Knowledge Information Systems with identifying areas for follow up to ensure comprehensive coverage of Stellenbosch University (SU)’s Social Impact (SI)initiatives;
  • Liaising and following up with SI stakeholders about the completeness of their initiative records;
  • Performing a quality control / editing function of initiative records to ensure accuracy and completeness;
  • Profileing identified SI stories in an interesting, accessible way on the platform;
  • Ensuring the platform is up to date, relevant and easy to use;
  • Reporting on Web analytics;
  • Reporting on Twitter analytics;
  • Assisting with the maintenance of the SharePoint platform;
  • Identifying and reporting any errors or bugs on the system;
  • Assisting with the development of the partner and student solutions of the platform;
  • Assisting with the stakeholder engagement regarding user requirements of the systems;
  • Assisting with the business analysis process;
  • Assisting with user acceptance and testing of the system;
  • Assisting with user uptake of the system.Support for Social Impact Marketing & CommunicationAssisting with profiling SI activities, events & initiatives on the Social Impact Knowledge Platform (SIKP), Twitter, internal and external print and other media;
  • Liaising with Corporate Marketing to ensure that SI events and stories are adequately covered and reported on;
  • Assisting with sourcing promotional branding items for the Division for Social Impact (DSI);
  • Pulling news stories from main SU and all faculty sites which are relevant to SI;
  • Sourcing news stories about SU SI stories published in external media;
  • Tweeting SU SI news stories;
  • Tweeting SU SI external media stories;
  • Retweeting SI stories from relevant accounts which are followed;
  • Assisting with advertising specific funding opportunities when they become available;
  • Compiling an electronic invitation;
  • Assisting with the communications and marketing of the event;
  • Scribing at the symposium;
  • Assisting with compiling the symposium report;
  • Assisting with the production of SIAnnual Report, Symposium Report & SI@SU publication;
  • Updating DSI Policy documents, minutes of meetings and images on the SI SharePoint space;
  • Compiling an SI quarterly newsletter;
  • Compiling the annual calendar for the DSI;
  • Submitting the DSI events and dates for the SU almanac;
  • Providing support to the Manager: Knowledge Information Systems where requested;
  • Providing support to the Director: Social Impact where requested;
  • Dealing with RSVPs relating to portfolio forum meetings. 

 

Job Requirements/Pos VereistesDriejaar tersiêre kwalifikasie;

  • Drie jaar bewese SharePointervaring;
  • Bewese ervaring met inligtingstelsels, insluitende digitalemediabemarking;
  • Uitstekende kommunikasievaardighede;
  • Uitstekende interpersoonlike vaardighede;
  • Vermoë om verskeie take te verrig terwyl aandag aan detail gegee word;
  • Vermoë om onder druk te werk. 

 

  • A threeyear tertiary qualification;
  • Three years’ confirmed SharePoint experience;
  • Confirmed information systems experience, including digital media marketing;
  • Excellent communication skills;
  • Excellent collaborate interpersonal skills;
  • Ability to multitask while paying attention to detail;
  • Ability to work under pressure. 

 

Recommendation
