Senior Assistant Officer (post level: 12)

Duties and responsibilities:
Manage all office communication to external and internal parties.
Perform general administrative duties, including typing, filing, ordering and controlling stationery, arranging printing, making photocopies, and managing the general maintenance of the photocopier.
Organise meetings, keep appointment schedules, and manage an electronic diary.
Prepare the agenda, compile the minutes, and distribute the decisions and resolutions of meetings to all relevant parties.
Coordinate and organise office services such as preparation of records and the budget, and perform housekeeping to ensure the smooth and effective operation of the office of the Head of the School of Clinical Medicine.
Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
Perform financial administrative duties, including the management of requisitions, invoices, payments, requests for advances, submission of expense claims, ad hoc claims and general bookkeeping.
Arrange travel schedules and applications, including managing reservations, transport arrangements and vehicle/hotel vouchers.
Post school qualification.
Two (2) years' experience in office administration.
Required competencies:
Computer skills related to MS Word, Excel, PowerPoint and the Internet.
Must be able to function independently as well as in a team.
Excellent organisational skills.
Must pay meticulous attention to detail and be committed to a high standard of work.
Have the ability to work under heavy pressure and manage a variety of tasks.

Recommendations:
An applicable degree/diploma.
Computer skills in Outlook.
Knowledge and experience of the higher education environment.
