The post-holder will be expected to exercise a high level of personal responsibility and initiative.The role requires significant previous experience in a similar senior PA/secretarial role and also requires strong interpersonal and organisational skills, with the ability and flexibility to successfully prioritise and address a demanding workload.

A good level of education, to at least A level or equivalent.The post-holder will be proficient in the use of other computer software including:E-mail, power point for presentation production, spreadsheets and databases (i.e. Excel, Access).

  • Excellent Interpersonal skills, dealing with staff at all levels within the University and with external organisations, and able to demonstrate a tactful and confident approach at all times.
  • A high level of discretion in dealing with confidential matters.
  • The ability to assimilate large amounts of disparate information and to analyse and make judgements relating to complex subject matters.
  • Accuracy and attention to detail, a ‘can do’ attitude, and the ability to work independently and on own initiative.
  • Welldeveloped organisational abilities e.g. ability to implement, maintain and initiate changes to office procedures, keep accurate records and produce status or progress reports.
  • Ability to work on own initiative, manage time effectively, progress tasks concurrently and work to deadlines
  • Ability to research issues

The post-holder is required to provide extensive and high level administrative organisational and secretarial support covering the full range of the Head of School and School Operations Manager activities.This will involve working largely unsupervised on issues that require the exercise of judgement, initiative and confidentiality, and where it will be essential to be proactive in order to meet the tight deadlines that are a feature of the Institute’s environment.The role requires excellent communication skills, both orally and in writing to facilitate the appropriate interaction with a wide range of people, many of whom will be operating at a senior level within the College, wider University and the external environment, including the NHS.

The post-holder will act as Personal Assistant to the Head of School and provide support to the School Operations Manager for the effective administration of the Institute.The post-holder’s role will involve liaison with the Institute Manager, Senior Administrators, College/University Officers and internal and external agencies.The working relationship between the PA and the Head of School is of paramount importance to the success of the Institute and its efficient operation.

The post holder forms part of the senior administrative support team within the Institute of Clinical Sciences, with responsibility for ensuring appropriate support for all activities required of the Head of School of Dentistry , and is expected to work collaboratively with other post holders across the team and beyond to ensure effective support for core activities.

The post-holder will be involved in gathering and collating information on specific projects to be reviewed by the Head of School and School Operations Manager, developing and managing complex and administrative information systems and proactively ensuring that the work is successfully completed to deadline.

Context

The Institute of Clinical Sciences is one of eight Institutes in the College of Medical and Dental Sciences. The Institute co-ordinates all teaching and student engagement activity, the Institute equips students with the skills to deliver outstanding healthcare and carry out life-changing medical research.This is informed by pedagogy and by research in the fields of dentistry, pharmacy and other clinical areas.It has a major role in the delivery of teaching a large UG student base across all years of the MBChB, BMedSc/Biomedical Science and GEC, BDS and MPharm programmes and a significant volume of post-graduate research and taught activity.

The post-holder will take a proactive role on the Institute’s Admin Forum which reports directly to the Institute Executive Committee.

The post-holder will be based within the School of Dentistry
