The Operations Officer is critical to the smooth running of the School and manages significant areas of operational activity (e.g. school committees, financial monitoring, academic staff recruitment and induction, visa compliance for staff and visitors, and organising School events) whilst also providing high level administrative support to the Head of School and Head of Operations. The post holder will work without direct supervision and exercise a high level of discretion. He or she will have a good understanding of the University's policies and procedures and be able to advise staff within the School accordingly.

The post holder will work closely with the School's Head of Operations and professional services team and to ensure that operational support for the Head of School and others within the School is professional, well-executed and timely, and compliant with university policies and based on best practice.

The post holder reports to the Head of Operations and may on occasion deputise for them.

Person Specification

Essential
  • Experience of working in a large and complex organisation.
  • Educated to degree level or equivalent qualifications and work experience.
  • Proven ability to develop, manage and motivate a team of professional staff, managing own time effectively and also the time of others to deliver work to the highest quality standards
  • Proven ability to work flexibly to solve problems and propose and implement solutions at a senior administrative level
  • Proven ability to collate and manipulate data from a wide variety of sources and present it in an appropriate format to support business cases/needs
  • Proven experience of drafting documentation for the approval of others, accurately and with attention to detail.
  • Previous experience of working in close partnership with senior staff to deliver significant strategic objectives
  • Excellent interpersonal skills, including tact, diplomacy and confidentiality.
  • The post-holder must inspire confidence and command authority with a range of colleagues across the academic community and Professional Services, and also external contacts.
  • Aptitude to prioritise own workload and to complete all tasks accurately and to a routinely high standard even when working to challenging and/or conflicting deadlines.
  • A high degree of initiative, personal judgement, resourcefulness, flexibility and a self-motivating approach is required for this role, as is the ability to complete tasks based on only broad direction and with minimum supervision.
  • Experience of supporting committees which includes advising on and drafting agendas and paperwork where necessary, writing minutes and taking follow- up action
  • Excellent interpersonal skills and proven ability to establish effective working relationships at all levels.
  • Proven ability to negotiate and influence others.
  • Flexible, positive and creative approach to work and meticulous attention to detail.
  • Proven financial/accounting experience which includes setting and monitoring spend against budgets
  • Project management experience
  • Proven experience of reengineering business processes to improve efficiency and the customer experience
  • Confident user of IT and various software packages, including Microsoft Office, and willingness to train on specialized software to support, inform and improve operational effectiveness.
