Duties and responsibilities:

  • Manage the electronic diary of the Senior Director: Research Development.
  • Manage enquiries and discretionary referral of enquiries to appropriate persons.
  • Manage incoming correspondence and e-mail and deal with it in a timely and efficient manner.
  • Keep records and maintain a sound filing system.
  • Oversee overall office administration and administrative support to the entire staff complement at the Directorate.
  • Prepare documents and files for meetings.
  • Responsible for all secretarial duties, including the following:
  • Send and receive faxes.
  • Handle photocopies.
  • Answer incoming calls.
  • Order and stock control of stationery.
  • Manage the logistical arrangements for workshops, strategic planning sessions and other social events.
  • Manage relations with various researchers, consultants and guests, both national and international.
  • Manage and monitor the various entities/budgets.
  • Arrange travel arrangements for the Senior Director.
  • Handle all financial administration for the Senior Director.
  • Assist with special projects/initiatives as defied from time which do not necessarily fall within the normal scope of work.

    Inherent requirements:

    • Relevant tertiary qualification
    • Two (2) to three (3) years’ experience in the office administration.


    Required competencies:

    • Honesty to handle cash or finances
    • Computer literacy in Microsoft Word, Excel, PowerPoint and Internet.
    • Good interpersonal and communication skills and the ability to function with ease in the University’s richly diverse working environment.
    • Excellent organisational skills.
    • Must pay meticulous attention to detail and be committed to a high standard of work.



    • Knowledge and work experience in a higher education environment.
