Assistant Officer (post level 13) (Contract appointment: 1 year)

Duties and responsibilities:

  • Responsible for digital filing of the Postgraduate School and grant entity financial activities.
  • Organise hard copy filling of the Postgraduate School and grant entity financial activities.
  • Monitor the General Ledger and actual expenses in an accurate and timely manner.
  • Assist to ensure that the school operates within budget.
  • Apply continuous quality assurance processes in the administration of finances.
  • Obtain quotations and invoices.
  • Assist to create e-requisitions and Purchase Orders.
  • Compile monthly financial statements
  • Assist continuously with financial reports.
  • Assist with service providers agreements.
  • Assist with ad hoc claims.
  • Assist with applications from staff members for funding support.
  • Participate in the auditing of entities of the school with an independent auditor.
  • Perform general office administrative duties as assigned.
  • Assist with the administration of funding applications.
  • Assist with data analysis for the Postgraduate School as is required.
  •  

    Inherent requirements:

  • Grade 12
  • One (1) year work experience in office administration.
  •  

    Required competencies:

    • Focused attention to detail.
    • Very good written communication skills, effective time management and ability to work under pressure.
    • PeopleSoft financial skills.
    • High-level computer literacy skills (MS Office).
    • Effective administrative, coordination organisation, planning, prioritising and problem-solving skills.
    • Multi-cultural efficacy.
    • Ability to function independently, as well as in a team
    • Maintain confidentiality.
    • Commitment and dedication to timeliness.
    • Accuracy.

     

    Recommendations

  • B.Com, BSc. Majoring in Actuarial Science or BSc majoring in Mathematical Sciences.
  • Two (2) years’ relevant experience.
  • Experience within the higher education environment.
  • PeopleSoft knowledge and experience.
  • Statistical analysis capability.
