Job Title:  Financial Services Administrative Officer B2: Financial Services and Reception(Ref. FIN/092/0318)

Duties

  • Welcoming guests;
  • Handling counter and telephone enquiries;
  • Taking telephone messages for the division;
  • General office administration, including handling mail, e-mails, photocopies, filing and scanning;
  • Assisting with the organising of appointments and travel arrangements for staff;
  • Managing the diary of the Director: Financial Services;
  • Managing the division's procurement, stationery and refreshments, including obtaining quotes, placing orders, completing the orders on the financial system and coordinating the stock;
  • Keeping minutes during meetings;
  • Updating databases on the financial system, including the capturing of foreign creditors etc.;
  • Sending e-mails on behalf of the division;
  • Coordinating repairs of building and office equipment with Facilities Management and Information Technology;
  • Arranging parking for visitors;
  • Performing ad hoc administrative tasks as determined by the Director: Financial Services;
  • Assisting with credit applications;
  • Creating roles on SUN ID;
  • Making vehicle bookings on behalf of students;
  • Arranging functions, workshops and meetings, including orders, venue bookings, attending (where applicable) and support on the day (possibly after-hours);
  • Scheduling interviews.

 

Job Requirements

  • Relevant post school qualification;
  • Proven experience in general office administration;
  • Proven ability to operate effectively as part of a team;
  • Excellent interpersonal skills;
  • Excellent verbal and written communication skills;
  • Good computer skills;
  • Excellent problem-solving skills.

Recommendation

  • Proven experience and knowledge of Stellenbosch University or a similar institution’s financial systems;
  • A Diploma in office administration.
