Job Purpose

The post is located in the Taught Student Administration section within Registry and is primarily responsible for production of all certificate and transcript orders via the University of Birmingham’s online shop. The post-holder will also be responsible for the timely production of all non-congregatable degree documents, and to work with collaborative partners to supply certificate and transcript documentation.

The successful applicant will be required to work independently, and to acquire the expertise to resolve most day-to-day issues without reference to others.

The post-holder will be responsible for the primary user support for Digital Certificates and the Verify document order website. This will involve working effectively with colleagues across the university, and externally with the third party supplier to analyse data, identify system issues, scope system fixes and enhancements.

The post holder will have a keen awareness of best practice in customer service and will take personal responsibility for the delivery of administration support services within TSA, Registry, Schools and Colleges. The post holder will be expected to work effectively and capably with professional and academic colleagues throughout the University.

 

Person Specification

  • An enthusiastic and positive attitude.
  • 5 GCSEs at grade C or above including Mathematics and English Language (or equivalent).
  • Proven experience of successful working in a customer service based environment.
  • Proven track record of ability to integrate with and function effectively as part of a busy, diverse and established team.
  • Understanding of management competencies, managing the work of others, and building/developing a team.
  • Proven ability to learn new processes quickly and thoroughly.
  • A high degree of resourcefulness e.g. the ability to transfer existing knowledge to new situations to formulate a solution to a problem.
  • An ability to independently and confidently seek out and apply or advise on matters of University of Birmingham legislation.
  • Evidence of good IT skills, including word-processing, databases and spreadsheets, with a proven ability to learn new on-line and off-line systems/packages quickly and thoroughly is essential.
  • Experience of large multi-user databases or records systems.
  • Excellent interpersonal and communication skills, including ability to influence and persuade others, and to develop positive and productive relationships with customers and colleagues.
  • Able to demonstrate excellent organisational skills including the ability to appropriately prioritise workloads (own and others), to effectively multi-task and to work productively and effectively under pressure and to tight deadlines.
  • Able to accurately judge the urgency of tasks and to reliably, independently and consistently prioritise their workload accordingly.
  • High level of attention to detail.
  • Experience of working in Higher or Further Education would be desirable.
  • Negotiation skills.
  • Experience of large scale projects (e.g. as a user or a tester).
  • An inquisitive/enquiring nature with the ability to question existing processes where there may be scope for improvement.
  • Ability to maintain momentum and motivation on projects being undertaken independently, to ensure that outcomes are reached.
  • Able to demonstrate a flexible approach to working and learning styles.
