Job Purpose

This post exists to act as an interface between the HR department and academic staff in the Institutes of Immunology and Immunotherapy and Inflammation and Ageing leading on the administration of fixed term contract staff, employment of temporary staff, honorary contracts and other staff related matters. The post holder will deliver high quality complex administration, whilst working independently. He/she will be expected to lead on and co-ordinate the expiry of fixed term contract administration of 2 Institutes. The post holder must be proactive and authoritative in developing and implementing complex systems to ensure that fixed term contracts for the institutes are administered correctly and on time. Drawing on substantial experience, the post requires a strong sense of initiative and the ability to multi-task. The post will require a high level of communication between academics, the Institute Management team, HR and Finance. Therefore the relationship between these groups of people and the post holder is of key importance to the successful administration of fixed term contracts.

The post holder will also be supporting academics in the recruitment of temporary staff via electronic systems. This will involve high level knowledge of the systems and the complex rules and policies around immigration and rights to work.

 

Person Specification

  • Educated to GCSE or equivalent relevant experience with a minimum of GCSE grade C or above in Maths and English.
  • Experienced and proficient in Excel and the implementation and use of ‘V look ups’
  • Experience of working to a high level of accuracy and experience of proof reading, to ensure data is imported correctly
  • Experience of working in a busy and demanding customer driven environment.
  • Experience of interpreting complex data such as finance budgets and analysing data
  • Experience of working on your own initiative.
  • Excellent IT skills with in depth knowledge of Microsoft Office (Excel) and Outlook email systems. The ability to create, maintain and manipulate spreadsheets and databases, and to understand and interpret the information contained therein
  • Able to demonstrate ability to work on several tasks simultaneously and creatively solving problems using own initiative, seeking advice where required.
  • Excellent inter-personal skills; ability to develop effective working relationships with all levels of staff and external contacts.
  • Ability to identify, develop and implement improvements to the administrative practises and procedures
  • Experience within financial or HE/NHS environment
  • Ability to work independently and accurately whilst adhering to deadlines. Operate as an effective team member whilst supporting senior staff in a busy environment.
  • Professionalism with a friendly approachable attitude.
  • Excellent communication and interpersonal skills, both written and oral.
  • Good team worker with the ability to work effectively with staff at different levels of the organisation. Understanding of the policy and legal context in which the work is undertaken
  • Excellent attention to detail and good awareness of how errors may impact on colleagues/customer who may be under personal pressure.
  • Ability to prioritise work tasks, whilst working with conflicting demands
  • Able to organise and manage a busy workload and work with minimal supervision with a willingness to resolve situations, as well as knowing when to refer issues to others.
  • Able to solve problems, trouble-shoot and consider quality improvements in own service area in response to customer feedback
  • The ability to facilitate and set the tone in communication between technical staff and academics
