Working hours: Full Time – (36 hours per week), Monday to Friday 9am to 5pm 

Please see below details of a new * temporary * assignment. 

We are looking for 3 x Administrators to work on a full time, temporary basis. 

 

The successful candidates will: 

  • Provide comprehensive, effective and efficient administrative support.
  • Carry out complex, established administrative processes according to accepted standards and procedures.
  • Adapting approaches and actions as required and prioritising own work activities. 
  • Sharing responsibility for the efficient and seamless delivery of operations.

 

Job 1

Location: Highfield Campus – SO17 1BJ

End date: 6th July 2018

 

Specific Requirements

  • Answer related queries, provide advice and resolve problems. 
  • Analyse, manipulate and interpret complex information in order to compile reports.
  • The role will involve significant liaison with EAs / PAs to the Deans, Vice Presidents and Executive Directors in order to coordinate diaries and arrange meetings.

 

Essential Skills:

  • Relevant work experience including arranging meetings
  • Sufficient knowledge of work systems equipment processes and standard IT packages

 

Desirable Skills: 

  • Previous PA experience

 

Job 2

Location: Chilworth Science Park, SO16 7NP

End date: 31st May 2018 – this assignment is initial cover for maternity leave until a 12-month contract is established.              

 

Specific Requirements 

  • Review and update database entries from external partners to ensure details are correct e.g. to check the wording of a funding acknowledgement in a press release. (Daily)
  • Ensure the status of database entries for ‘outputs’ are kept up-to-date (Daily)
  • Export report from online system and review for flagged items, emailing information on to the Dept. of Health. (Weekly)
  • Find images using an online database and crop or resize for use on the web or social media
  • Manage the team email account, forwarding relevant emails to team members for action,  updating database records etc as a result (Daily)
  • Shared responsibility for ensuring emails to  public facing NIHR Enquiries mailbox are responded to within 48 working hours. (Weekly)
  • Maintain budget spreadsheets (Daily)
  • Liaise with print centre to get literature produced (Ad-hoc)
  • Update slides on internal screens - similar to modifying PowerPoint slides (Daily)
  • Book team meetings (Ad-hoc)
  • General administrative duties e.g. formatting documents, managing spreadsheets, assisting with logistical arrangements for getting materials to events

 

Additional desirable tasks:

  • Produce an email bulletins and support production of any similar ad-hoc e-shots – usually involving transferring pre-written text and finding images to match (Monthly)
  • Carry out the occasional web updates replacing or uploading text or documents as provided by colleagues

 

Essential skills:

  • Computer literacy
  • Excellent communication skills.
  • Ability to work with all Microsoft Office Suite (Excel, Outlook, Word)
  • Ability to work independently, organising data and scheduling activities to ensure deadlines are met.
  • Diary management experience.
  • Experience working with newsletters, websites or digital images

 

Desirable skills:

  • Experience of planning and supporting large meetings
  • Relevant work experience in NHS or health setting

 

Job 3

Location: Highfield Campus

End date: 12th October 2018

 

Specific Requirements

  • Working with student data with high accuracy and attention to detail. 
  • Experienced in high volume data entry.

 

Essential skills:

  • Computer literacy
  • Excellent communication skills.
  • Ability to work with all Microsoft Office Suite (Excel, Outlook, Word)
  • Ability to work independently, organising data and scheduling activities to ensure deadlines are met.

 

Desirable skills:

Banner (University Database system) or similar large database.

Please note that all temporary workers are paid a month in arrears.  Pay day is on the last working day of each month.  This means that, depending on your start date, it could be up to eight weeks before you receive your first payment.
