Duties and responsibilities:

Leadership and Management:

  • Lead and manage the Access Division on the UFS South Campus.
  • Serve as member of the Executive Committee of the South Campus to provide leadership in the overall management of the Campus.
  • Chair Undergraduate Coordinators' meetings regarding academic and non-academic programme matters; communicate and oversee the implementation of strategic programme matters.
  • Attend meetings with academics in faculties and faculty management, support and student services at Bloemfontein Campus when necessary to clarify strategic programme matters.
  • Attend monthly meetings with the Campus Principal about strategic academic and non-academic matters and to clarify problem areas and strategic matters. Request special meetings for urgent matters.
  • Represent the Access Division on five South Campus sub-committees of the ExecutiveManagement.
  • Arrange for annual election of the Student Representative Body and training of SRB members
  • Initiate, plan and present annual South Campus Gateway Project.
  • Lead the national interest group for access programmes
  • Serve as member of the National Ministerial Committee for Extended Programmes in South Africa.
  • Responsible for the management of the Foundation Grant (exceeding R40m) in collaboration with the Vice Rector: Academic.
  • Serve as member of strategic planning meetings for the South Campus.

    General Administration:

      Lead bi-weekly meetings with Access Division staff reporting into position and report back to line manager about programme execution matters. Attend quarterly meetings with Line Manager about academic and non-academic administrative matters to be taken care of.  Request special meetings for assistance regarding administrative matters if necessary.

     

    Academic Administration:

  • Provide Campus Principal and programme staff with applicable longitudinal reports.
  • Leadership to Module Coordinators regarding strategic programme aspects and assist with problem solving regarding academic matters.
  • Initiate and negotiate with all role players involved in University Access Programme (UAP) administration, especially in relation to academic training opportunities for staff and students.
  • Plan, organise, oversee and manage annual South Campus student registrations as well as in sub-regions in collaboration with Access Division staff and TVET College Management.
  •  

    People Management:

  • Manage staff members in Access Division, manage Module Coordinators, manage and support TVET College programme representatives and assist Academic Facilitators when requested. (More than 200 staff members).
  • Handle all student disciplinary matters and staff conflict resolution.
  •  

    Client Support:

  • Deal with outside clients (TVET College Management and Programme Representatives) and UFS Top Management’s at a strategic level.
  • Provide strategic leadership to academic and support staff and students.
  • Liaise with possible donors regarding fundraising for Access Programmes, compiling of appropriate business plans with budgets and provision of written reports to donors.
  •  

    Inherent requirements:

  • Honours degree in Higher Education Studies, or related field.
  • Three (3) to five (5) years’ proven experience in leadership and management of Access Programme initiatives in a higher education institution.
  •  

    Required competencies:

  • Excellence in the official language of the University.
  • Mastery of the computer skills and software necessary for academic report writing, and visual presentation of research results and curriculum planning, including MS Office Suite
  • Financial skills to enable the design of business plans and budgets for a large section of the Campus.
  • Management and co-ordination skills within a South African university context.
  • The ability to work independently and under pressure.
  • Business acumen.

  •  

    Recommendations:

  • Master’s degree in Higher Education Studies, or related field.
  • Proven experience four (4) to five (5) years) in higher education leadership and management.
  • Knowledge and experience of software systems typically used in the South African Higher Education context, i.e. Oracle PeopleSoft.
  • Knowledge and experience in data management and analysis.
  • Knowledge and experience in the administrative systems and procedures related to the internal and national accreditation of new Higher Education qualifications.
  •
