Department of Process Engineering - Administrative Officer C2(Ref. ING04/207/0618)

The Department of Process Engineering at Stellenbosch University requires a full-time receptionist to assist with general administrative duties. 

Duties

The duties of the receptionist will include, amongst others, the following:General reception duties;

  • General office administration;
  • Receiving telephone calls and general enquiries;
  • Managing the switchboard professionally;
  • Receiving students, staff and visitors;
  • Access control and monitoring at the entrance;
  • Correct referral of visitors to appropriate people;
  • General upkeep of foyer and notice boards;
  • Receiving and distributing all deliveries to the department;
  • Sorting and handling all postal items;
  • Handling orders and inventory;
  • Room bookings;
  • Assisting with the arranging of meetings and functions;
  • Updating staff information;
  • General typing;
  • Assisting with scanning and copying, as well as upkeeping of copying areas;
  • Fulfilling ad hoc tasks for lecturers;
  • Providing ad hoc assistance to the undergraduate administrator;
  • Fulfilling all other ad hoc administrative duties, as needed.

 

Job Requirements

  • Grade 12, as well as an applicable post-school qualification of at least one year;
  • At least three years' experience in a similar position;
  • Good written and verbal communication skills in English and Afrikaans;
  • Computer literate (MS Word, Excel, Outlook). (Will be tested during the interview);
  • The ability to execute tasks independently, but also to work in a team and follow instructions;
  • Proven client service experience;
  • Excellent organisational skills;
  • Good interpersonal skills;
  • Professional, helpful and personable demeanour;
  • Valid driver’s licence.
