Office Manager: Student Recruitment Services (post level 10/11)

Duties and responsibilities:

  • Provide high-level administrative support and deliver support on projects.
  • Perform general office administration and management, such as ordering supplies, typing, filing, telephone call, emails and mail.
  • Manage the diary of, and make travelling arrangements for the Director: Student Recruitment Services.
  • Assist in the processing of financial and other claims for the Director: Student Recruitment Services and staff in the department.
  • Schedule and mange office meetings and workshops.
  • Attend meetings to record minutes.
  • Responsible for service logbook, licenses, fuel cards (for the fleet vehicles), branding, credit card statements finalisations (for the Director), office building maintenance and security.
  • Responsible for budget planning and maintain specific entities.
  • Accountable for safety representative, safety and evacuation planning.
  • Prepare marketing material to be sent via courier.
  • Update cellphone, 3GB and telephone contracts for the Director: Student Recruitment Services and staff in the department.
  • Order equipment for the Director: Student Recruitment Services (SRS) and staff in the department
  • Assist first year students with queries.
  • Assist parents with queries and refer to the relevant SRS employees if required.
  • Receive visitors and determine whom they should see with regard to their query.
  • Assist with career exhibition requests.
  • Assist with sponsorship requests.
  • Communicate with clients, sponsors and other stakeholders.
  • Provide assistance with special projects : first year Top Achiever recruitment project, UFS Bloemfontein Campus annual bus project, (first year student bus ticket reimbursements, accommodation, travel, flight and financial arrangements as well as South and Qwaqwa Campus).
  • Assist with the required arrangements for Namibia, Lesotho and all other international recruitment projects and special events such as Macufe soccer and other similar special events.
  • Process requisitions and handle financial expenses for projects such as UFS open day/Star of Stars and other similar projects.

    Inherent requirements:

  • B. degree in Communication or Marketing
  • Two (2) years’ work experience in customer care or/and Communication Industry with an administrative background.
  • Valid driver’s license.
  •  

    Required competencies:

    • Predisposition towards excellent customer service.
    • Excellent communication and people skills.
    • Proficiency in English and Afrikaans (reading, writing and talking).
    • Advanced computer skill in MS Office.
    • Accuracy (for capturing of data).
    • Initiative and ability to work as an individual or in a team.

     

    Recommendations:

  • Knowledge of PeopleSoft and Intranet.
