Job Purpose

The post holder will join an Education Support Administration Team, which provides comprehensive administrative support to the students and academic staff in the College of Engineering & Physical Sciences.

The post holder will be required to fully support the Education Support Team Manager in the day-to-day line management responsibility for the staff within the team and have responsibility for maintenance, review and control of University electronic and hardcopy records relating to students, in accordance with University regulations.

The specific duties carried out by each member of the Education Support teams vary, but the post holder can be expected to be involved in all aspects of the administration and support of the delivery of teaching programmes within the College supporting students through the academic life cycle. The post holder will deputise for the Team Manager and manage staff as required and proactively develop procedures for agreed areas of operational support.

The post holder will have a keen awareness of best practice in customer service and will take personal responsibility for the delivery of administration support services at School, College and University level. The post holder will be expected to work effectively and capably with professional and academic colleagues throughout the University.

Person Specification

  • Experience of leading, line-managing and motivating staff.
  • 5 GCSEs at grade C or above including Mathematics and English Language (or equivalent).
  • Significant experience of managing and implementing administrative procedures within a complex operating environment.
  • Proven and demonstrable experience of successful working in a customer service based environment.
  • Proven track record of ability to integrate with and function effectively as part of a busy, diverse and established team.
  • A high degree of resourcefulness e.g. the ability to transfer existing knowledge to new situations to formulate a solution to a problem.
  • An ability to independently and confidently seek out and apply or advise on matters of University of Birmingham legislation.
  • Excellent communication and inter-personal skills.
  • Excellent and demonstrable analytical and problem solving skills
  • Strong time-management and organisational skills.
  • Able to accurately judge the urgency of tasks and to reliably, independently and consistently prioritise their own workload, and that of others accordingly.
  • High level of attention to detail.
  • Demonstrable capability in delegation.
  • Demonstrable proficiency in the use of the Microsoft Office suite.
  • Ability to maintain confidentiality in all areas of work.
  • Ability to work to tight deadlines in a collaborative team environment.
  • Negotiation skills.
  • Experience of large scale projects.
  • The ability to be flexible and adaptable in busy periods.
