JOB PURPOSE:

The purpose of the position is to provide administrative support to the FlyHigher@UP programme primarily, and postgraduate-related support activities secondarily. Analyses of UP postgraduate stats show that there is room for improving postgraduate degree completion periods. The FlyHigher@UP programme is one of the interventions aimed at shortening postgraduate completion periods through holistic support offered to postgraduate students throughout their postgraduate life cycle.

It follows, therefore, that there is need for dedicated administrative support to ensure that the FlyHigher@UP programme is implemented effectively. This position will provide the dedicated administrative support needed, and will ensure that monitoring and evaluation of the programme is embedded in the programme.

The Senior Administrative Assistant will be responsible for the administration of training workshops and tutorials, which will entail handling announcements, online bookings, booking of venues, preparation of pedagogical materials, handling of attendance registers, arranging access to various UP campuses, organising parking for facilitators, ordering catering, managing time sheets of facilitators, processing payments of facilitators, maintaining databases, providing data for analytics and contributing towards writing of progress reports.

RESPONSIBILITIES:

The incumbent will be responsible for:

  • Administration of the University Capacity Development Programme FlyHigher@UP Project:

Co-ordinating several series of training workshops and tutorials conducted at various UP Campuses;

  • Monitoring and evaluating the UCDP programme:

Assisting in implementing an M & E system through data collection tools and processes;

  • Postgraduate Information Desk:

Administrating enquiries through various channels;

  • UCDP - funded United States - South Africa Doctoral Programme:

UP administrative support for the international collaborative projective project;

  • National e-Science Postgraduate Teaching and Training Platform:

Co-ordinating enrolment of UP students in e-Science postgraduate studies.

MINIMUM REQUIREMENTS:

  • Relevant National Diploma;
  • One year of administration experience in a higher education research administration environment.


REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Technically competent in MS Excel, Word, Pastel and QuickBook;
  • Knowledge of NRF-systems;
  • Interpersonal skills;
  • Time management skills and the ability to work under pressure;
  • Good work ethics.


ADDED ADVANTAGES AND PREFERENCES:

  • Relevant undergraduate degree;
  • One year experience in monitoring and evaluation of projects in a higher education research administration environment.

The all-inclusive remuneration package for this contract position will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines.
