Duties and responsibilities

 

  • Maintain relationships and communication with the University Capacity Development Plan (UCDP) collaborative grant participants (7 national institutions).
  • Assist the Academic Advising Chief Officer with project planning for the range of the UCDP collaborative grant projects at the UFS (and where applicable for national research projects).
  • Coordinate in collaboration with the Academic Advising Chief Officer the financial management of the UCDP project.
  • Prepare correspondence, including meeting minutes, for team/stakeholders.
  • Organise logistical arrangements with regard to workshops and conferences online/face-to-face.
  • Handle general office administration (filing, email and liaise with relevant stakeholders).
  • Collaborate with researchers in the field.
  • Ensure quality management of project deliverables.
  • Contribute to the national baseline study of academic advising in collaboration with line manager and participating institutions.
  • Coordinate and track project schedules and deliverables.
  • Provide online/face-to-face general academic advice to registered students at the UFS.
  • Connect students to student support stakeholders (on-campus professional staff - academic and support).

 

Inherent requirements

  • Relevant bachelor's degree.
  • Two (2) to three (3) years' relevant working experience in Higher Education.

 

Required competencies

  • Good interpersonal and communication skills and the ability to function with ease in the University's richly diverse working environment.
  • Above average written and oral communication proficiency in the official administrative language of the institution.
  • Highly organised and able to work well under pressure.
  • Responsible and able to show good judgment, initiative, and resourcefulness.
  • Ability to interact with staff and students in a way that will further collaborate in the development of the academic advising system.
  • Results-orientated and able to work independently as well as in a team.
  • A good understanding of academic advising and the South African higher education context.
  • Ability to develop and implement student support initiatives.
  • Advanced computer skills (MS Word, Excel and Power point) in order to write reports and develop PowerPoint presentations.
  • Willing to travel on occasion, as needed within the project.

 

Recommendations

  • Honours or Master's Degree (preferably with Psychology/Industrial Psychology/Project Management).
  • Two (2) years' working experience in project management.
