Project Coordinator (25 hours per week) (post level 12) (contract appointment: 3 years)

Duties and responsibilities:
- Manage all the general administration and administration of funds allocated for the UCDP-USDP project with the University of Virginia and the University of Venda in accordance with both the rules applicable to the funding and University of the Free State policies and procedures.
- Ensure compliance with financial reporting requirements of the UFS and the Department of Higher Education and Training for this project.
- Help with normal administrative tasks including meeting scheduling, filing, minutes keeping and report writing.
- Assist with logistical and travel arrangements when necessary. Arrange travel schedules and applications, including managing reservations, transport arrangements and vehicle/hotel vouchers
- Coordinate the advertisement for suitable candidates.
- Ensure the full integration of the programme in the relevant institutional frameworks for doctoral training.
- Coordinate the selection process in consultation with leadership of the project.Coordinate, facilitate and execute all the administration of steering committee meetings including agenda drafting, keeping minutes, communicating on decisions on behalf of the committee and having a decision register.
- Coordinate, facilitate and execute administration of quarterly cohort meetings including agenda drafting, keeping minutes, communicating on decisions on behalf of the committee and having a decision Coordinate, facilitate and execute the administration of selection committee meetings including agenda drafting, keeping minutes, communicating on decisions on behalf of the committee and having decision register.
- Provide administrative support for the selection process.
- Act as the project secretariat and general office.
Inherent requirements:
- A relevant degree or national diploma
- Two (2) to three (3) years' relevant experience.
Required competencies:
- Understanding of internationalisation, and specifically of research internationalisation.
- Understanding of doctoral studies.
- Knowledge of Higher Education Institution.
- Excellent project management skills.
- General administrative and financial management skills.
- IT skills, specifically with regard to online communication tools (e.g. Skype) and information exchange tools (e.g. dropbox).
- Skills in arranging travel schedules.
Recommendations:
- Project management experience.
