Assistant Director (post level 7)

Duties and responsibilities:

  • Provide strategic leadership, planning and management of the University's Archives and Records Management Services.
  • Manage human resources effectively and efficiently.
  • Appraise and manage the transfer of public records to the Archives.
  • Manage and monitor the provision of access and use of the University's public records of long term value.
  • Manage and care for records of the University.


Inherent requirements:

  • A bachelor's degree in Archival Studies or equivalent qualification
  • Five (5) years relevant experience.


Required competencies:

  • Knowledge of Archival and Records management studies and the academic world.
  • Knowledge of the National Archives and Record Service of South Africa Act, 1996 (Act No.43 of 1996).
  • Knowledge of the University's organisational structure, functions and records systems.
  • Knowledge of the National Automated Archival Information Retrieval System (NAAITS).
  • Appraisal of the University's record.
  • Strategic planning, development and management (Strategic thinking).
  • Development of guiding documents, for example, Policies, Procedure Manuals, Service Level Agreements, Memoranda of Understanding and related documents.
  • Effective, efficient and accountable financial management, budgeting and risk management.
  • Knowledge of labour relations and disciplinary procedures.
  • Management of human resources management.
  • Benchmarking knowledge and skills.
  • Conducting users' needs surveys.
  • Computer literacy.
  • Report, proposals and articles writing skills.
  • Quality control and assessment of services.
  • Excellent interpersonal relations.
  • Client service orientation.
  • Excellent communication skills as well as ability to liaise on different levels internally and externally.
  • Excellent presentation and training skills.
  • Innovative/creative problem solving skills.
  • The ability to apply diversity management and adapt easily to change.
  • Team work - ability to build, manage and motivate team work.
