Background:

Future Africa is an Institute of the University of Pretoria, established to promote transdisciplinary research, science leadership development and innovation in science, and to foster the development of research networks and training at an advanced level, with the aim of contributing to Africa's sustainable and equitable development.

This position is for a Facilities Coordinator at the Future Africa Campus. The Future Africa campus will be a hub for African and international scholars who will come to Future Africa in the pursuit of collaboration and interaction beyond traditional borders and boundaries, to seek solutions to Africa's long-term developmental challenges, and to establish partnerships with a wide range of stakeholders.

The Future Africa campus will provide a dynamic living environment for postdoctoral fellows, postgraduate students, visiting scholars and international guests.

In particular, the campus will provide:

  • Eight residential buildings in the tranquil surrounds of the UP Experimental Farm;
  • Living units to approximately 200 postdoctoral fellows and postgraduate students who will form the longer stay residents at the campus;
  • Accommodation for visiting scholars and other international guests who will be short stay visitors to the campus;
  • Secure and enclosed quarters within the Hillcrest Campus of the University of Pretoria;
  • Other buildings include:
    • A state of the art Research Commons designed and developed to facilitate groups of research leaders and role players beyond the academe to collaborate (to contribute to the SDG's and Agenda 2030 as well as the implementation of Agenda 2063, amongst others);
    • A state of the art Conference Centre with adjacent amenities to host large interest groups;
    • A multipurpose dining hall and kitchen complex which will provide specialised services to the campus community.

 

This position calls for a dedicated facilities co-ordination function played by an individual who understands the institutional nature of universities and is willing to contribute to the social wellbeing of the resident community which will be created at Future Africa.

Responsibilities: 

 

The incumbent will report to the Future Africa Management and will play a central role in the communication and engagement for various stakeholders within the resident community of the Future Africa Campus, including service providers and other contractors to the UP.

The incumbent will also be responsible for:

  • Providing support to the Future Africa Management;
  • Providing client services to all residents;
  • Building maintenance and supervision:
    • Actively contributing to and overseeing the pro-active maintenance of the residence facilities;
    • Controlling and inspecting buildings to ensure compliance;
    • Facilitating the maintenance plans and engaging with service providers to ensure compliance;
    • Reporting on all maintenance for Future Africa Campus;
  • Administration and operations support:
    • Actively support the management of the overall campus;
    • Attending management meetings;
  • Access and key control:
    • Managing and issuing access control cards to campus and residence facilities;
  • Asset management and stock control:
    • Managing assets and stock control: compliance, administration and reporting;
  • Providing support to the residence living environment:
    • Ensuring that the campus living environment offers a positive experience to students, researchers, scholarly visitors and other guests;
    • Ensuring that all queries are dealt with expeditiously;
    • Providing guidance and details of campus processes and procedures.

 

Minimum Requirements: 

  • A three-year degree;
  • Certificate in OHSA;
  • Proven computer literacy in MS Office, e-mail and relevant web-based applications;
  • Valid driver's license;
  • Two years' experience in:
    • A client services environment;
    • Building supervision;
    • Administration in a higher education environment.

 

Required Competencies (Skills, Knowledge and Behvaioural Attributes)

  • Strong written and verbal communication skills (other official languages will be advantageous);
  • Ability to work independently and manage real-time service levels;
  • Decision-making skills and the ability to manage crisis situations;
  • Strong interpersonal skills and client service oriented work ethic;
  • Ability to maintain effective partnerships;
  • Diversity minded and the ability to work in a multi-cultural, multi-ethnic environment;
  • Ability to organise and collate to meet deadlines and target dates;
  • Knowledge of university management structures.

 

Added Advantages and Preferences:

  • Certificate in Hospitality/Building/Maintenance Management or equivalent;
  • One year of experience in:
    • Procurement support at an institution;
    • Health and safety co-ordination;
    • Hospitality and events co-ordination;
    • Basic accounting.

 

Additional Information

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid scheme and contributes 50% of the applicable monthly premium.
