Duties and responsibilities:

Leadership and management

  • Manage the Short Learning Programme (SLP) Office at the University of the Free State (UFS).
  • Act as custodian of the UFS SLP policy.
  • Monitor compliance with the UFS SLP policy throughout the Institution.
  • Coordinate SLPs at the UFS.

 

General administration

  • Map and maintain a database for SLPs at the UFS.
  • Coordinate the setup of online and manual admission and registration processes for SLPs.
  • Update and coordinate the maintenance of a SLP Webpage.
  • Coordinate the design of a new UFS SLP policy in collaboration with Directorate for Institutional Research and Academic Planning (DIRAP) and other UFS stakeholders, which is aligned with the Council on Higher Education (CHE) Good Practice Guide.
  • Design a business plan in collaboration with internal and external experts.
  • Coordinate central marketing of SLPs.
  • Draft a marketing plan for the central marketing of SLPs in collaboration with stakeholders.
  • Draw up standard operating procedures and development of templates to standardise SLP processes.
  • Compile annual UFS SLP Report.
  • Coordinate setup of system for SLPs in collaboration with relevant stakeholders.
  • Coordinate the certification process for SLPs at the UFS.
  • Liaise with Finance and Faculties on framework for financial aspects of SLPs.
  • Coordinate system setup on PeopleSoft (programme/plan/module).
  • Coordinate module scheduling on PeopleSoft (per class)

 

Academic administration

  • Liaise with project managers and academic role players in faculties.

 

People management

  • Manage staff in SLP office.
  • Consult with deans and other stakeholders offering SLPs.

 

Client support

  • Liaise and negotiate with external stakeholders.
  • Support staff in procedures to manage and deliver SLPs
  • Support academic staff in the preparation of short learning programme applications for accreditation. 

 

Inherent requirements:

  • Master's degree in Higher Education Studies or related field.
  • Five (5) years' experience in a South African Higher Education environment, preferably at a South African university.
  • Four (4) years' proven leadership experience in a higher education institution, specifically working with short learning programmes.

 

Required competencies:

  • PhD in Higher Education Studies, or related field.
  • Knowledge and experience of administrative systems and procedures related to the internal and national accreditation of new Higher Education qualifications.
  • Proven excellent proficiency in the official language of the UFS, both written and verbal.
  • Proven mastery of the computer skills including Word, Excel, Power point and software necessary for academic report writing, and visual presentation of research results
  • Proven management and co-ordination skills within a South African university context.
  • The ability to work independently and under pressure.
  • High level report writing skills.
  • Knowledge and experience of software systems typically used in the South African Higher Education context, i.e. Oracle PeopleSoft.
  • Business acumen.
