Programme Coordinator, Office of Dean of Students

Introduction

The Office of Dean of Students (ODOS) was created in 2017 to support students' professional and personal development at AKU. The Office works closely with faculty, staff, and leadership across all entities and units to foster student engagement and to prepare them to enter society as innovative, collaborative, and compassionate leaders in their fields. In line with internationally recognized best practices adapted for the local context, ODOS is instrumental in helping AKU as a whole move towards greater student-centeredness. 

 

Responsibilities

Reporting to the Manager and Executive Officer, ODOS, you will be required to support planning and operations of ODOS and ensuring that AKU students worldwide are provided with the highest quality services in the non-academic domain. Other job responsibilities include:

  • Arranging meetings of AKU students, faculty, and staff, with ODOS personnel by coordinating schedules and arranging for meeting venues. Also, taking notes, circulating minutes and following up on decisions taken during meetings
  • Overseeing and analyzing expenses and reimbursements by reconciling expenses made with approved allocations and ensuring correct entry of records
  • Ensuring adherence to protocols as established by AKU Finance Office and making recommendations
  • Assisting in the running of orientations, workshops, sessions, panel discussions, and talks through pre-event communication with speakers and panelists, both internal and external
  • Coordinating with AKU administrative staff in various academic entities
  • Overseeing student society and committee plans and activities by advising students on feasibility of certain plans and activities based on AKU policies and ODOS guidelines, and coordinating with other support services and  providing logistical support
  • Monitoring ongoing projects and ensuring on-time completion of milestones by developing timelines for projects
  • Following up with people responsible for various aspects of a project, reporting (non)compliance with project aims to ODOS personnel and making recommendations.

 

Requirements

You must have:

  • Minimum Bachelors degree from a reputable local or foreign university
  • Minimum 2 years of work experience in educational sector or other relevant area
  • Excellent oral and written communication skills in English
  • Ability to communicate effectively with people from different backgrounds
  • Experience working with budgets at a basic level
  • Proficiency in MS Word, MS Powerpoint, MS Excel,MS Outlook (required) and have basic knowledge of Adobe Photoshop and Illustrator (preferaby)
  • Strong time management and coordination skills
  • High level of conscientiousness and internal motivation.
