Job Purpose

The post holder will have a key role in the Conference & Events events team supporting the smooth running of an event. The role requires an excellent eye for detail and a highly organised approach. You will have a lot of different people to deal with and a wide variety of tasks, which you will need to take responsibility for. 

You will be providing support to a full events team - and it will be your responsibility to make sure that the entire behind the scenes' organisation runs smoothly and efficiently. 

The support administration role covers a very wide range of jobs within the conference and events office. 

Person Specification 

  • You need to demonstrate strong MS office skills, including Word, Excel, and the knowledge of database management is essential 
  • Substantial previous experience within an office environment, including previous experience of providing administrative support to a small team 
  • Good general level of education: minimum GCSE (or equivalent) Grade C in English and Mathematics. 
  • Proven ability to work as part of a team and independently 
  • Well-developed organisational abilities, accuracy and ability to prioritise own work 
  • Financial awareness and budgetary knowledge required. 
  • Good knowledge of developing spreadsheets is required. 
  • Proven ability to work under pressure to meet strict deadlines, adaptable and flexible when faced with change 
  • Excellent attention to detail is essential 
  • Excellent interpersonal and communication skills is essential, both written and verbal, with an ability to adapt to a diverse range of client groups (departments and schools, University employees and external customers)
  • A customer focused approach 
  • Demonstrable knowledge and understanding of events administration and/or the events industry is required. 
  • Planning and organising 
  • The Administrator will be responsible for the planning of their workload, in consultation with senior managers where appropriate, ensuring that they organise their time to meet deadlines 
  • Problem solving and decision making 
  • The post holder will be required to make decisions in-line with University regulations and in accordance with the scope of the role. Any problems that are complex or difficult can be made in consultation or referred to senior managers. 
  • Internal and external relationships, the post holder will be required to develop and maintain a professional working relationship with the team, clients and stakeholders.
