Job Purpose

With more than 100 programmes and over 5,000 students, Birmingham Business School is the largest School at the University and plays a pivotal role in delivering the University's strategies for internationalisation, student experience and teaching excellence.
As a Learning and Teaching Administrator, you will play a critical role in supporting the delivery of the School's education and student enhancement strategies and related policies, processes and plans by providing effective student and programme administration.
You will either be part of a Cluster team supporting the administration of a number of programmes within the School's educational portfolio, ensuring the delivery of effective and efficient administrative support for students and academics; or you will work on the School's student reception as the first point of contact for students, providing front-line advice and guidance to students.

Main Duties
  • Act as the first point of contact for current and prospective students and academic staff involved in the programmes, advising on a range of standard student services and programme related queries and escalating more complex queries as appropriate.
  • Administer academic programmes and related student services, working closely with the appropriate academic and professional services staff to deliver the annual cycle of teaching and learning related activity and administration in an efficient and effective manner, achieving all relevant KPIs, complying with relevant codes of practice, policies and guidance, and implementing any new or revised processes as required.
  • This will include providing timely and accurate administrative support to the following activities: student recruitment and admissions, welcome, induction/re-induction, timetabling, attendance monitoring, examinations, progression, and graduation etc.
  • Manage student records, ensuring that a range of student related data e.g. attendance, change of circumstances, marks, progression decisions etc. is captured accurately and in a timely manner.
  • Providing administrative support for periodic audits and reporting requirements.
  • Communicate programme and/or student services related information to students (typically through the VLE) and to staff, ensuring communications are comprehensive, accurate, timely and in accordance with relevant guidance.
  • Providing support for academic colleagues and the Student Experience and Engagement Officer in the preparation and delivery of a range of events relating to the programmes and the student experience.
  • Proactively identifying and recommending to the Learning and Teaching Officer, the Student Experience and Engagement Officer, and Academic Programme Directors ways of enhancing the curriculum and student experience.
  • Supporting the implementation of quality assurance and enhancement, attendance monitoring, and student conduct processes, escalating any issues and non-compliance as appropriate. Contribute to the annual programme/module review and evaluation processes and the periodic review of administrative processes and procedures ensuring they are fit for purpose, efficient, effective, compliant and continuously improved, sharing best practice across the College where appropriate.


Person Specification

Essential
  • Educated to 'A' Level or (equivalent qualification or relevant work experience) and hold at least a GCSE in Mathematics and English at grade or above (or equivalent).
  • Experience of working in an administrative role in a fast paced and complex environment.
  • An appreciation of the student lifecycle and a track record of delivering excellent customer service.
  • Ability to work with a diverse range of stakeholder courteously, diplomatically, and confidentiality in order to establish and maintain personal credibility.
  • Excellent interpersonal, organisational, and communication skills.
  • Well organised with the ability to prioritise own work proactively, independently and as part of a team
  • Attention to detail and the ability to work confidentially, use judgement and make appropriate decisions within the constraints of the role.
  • Excellent IT skills and an aptitude for learning new packages to support student administration e.g. student records systems.
  • Ability to work flexibly in a fast moving, dynamic environment where change is often required immediately.
  • Willingness to engage in continuing professional development and training.


Desirable
  • Experience of working within a Higher Education or an educational environment.
  • Experience of supporting committees in a secretarial capacity.
  • Experience of using and maintaining complex working systems e.g. student databases/ record systems.
